Job Title: DDD Day Program Manager (DDD stands for Division of Developmental Disabilities) Location : Glendale Department: Day Programs Reports to: Director of Programs Job Summary: The DDD Day Program Manager is responsible for overseeing the daily operations, management, and development of a day program serving individuals with developmental disabilities. This role includes ensuring high-quality services, compliance with state and federal regulations, and providing a safe and supportive environment for program participants. The manager will lead a team of direct support professionals, coordinate services with external providers, and foster an environment of growth, inclusion, and independence for individuals with intellectual and developmental disabilities (IDD). The DDD Day Program Manager must demonstrate strong leadership, program development, and staff management skills, as well as in-depth knowledge of the needs and rights of individuals with disabilities. Key Responsibilities : Program Development and Oversight: Develop, implement, and manage day program activities and services that support individuals in achieving their personal goals, including social, vocational, and life skills training. Create and oversee individualized service plans (ISP) in collaboration with participants, families, case managers, and other stakeholders. Ensure that all program activities are aligned with person-centered planning, emphasizing autonomy, choice, and community integration. Regularly assess the effectiveness of the program, making adjustments to meet the changing needs of participants and regulatory requirements. Ensure participants are picked up and dropped off on time and adequately as needed (to and from program, in the community/events as required). Staff Supervision and Training: Recruit, hire, train, and supervise direct support staff, activity coordinators, and other personnel working within the day program. Conduct regular staff meetings, provide ongoing supervision and professional development opportunities, and ensure staff adherence to best practices in supporting individuals with developmental disabilities. Implement staff schedules, delegate responsibilities, and ensure adequate coverage to meet program needs. Compliance and Quality Assurance: Ensure compliance with all state and federal regulations, including the Division of Developmental Disabilities (DDD) standards, Medicaid guidelines, and other relevant policies. Maintain accurate documentation for each participant, including progress notes, incident reports, attendance records, and compliance reviews. Conduct regular internal audits of records and services to ensure the highest standards of care. Stay current with industry standards, regulatory changes, and emerging best practices for individuals with developmental disabilities. Ensure the facility and program is always ready for external/DDD program review, meeting all program requirements with a passing grade of at least 90%. Participant and Family Engagement: Foster a welcoming, inclusive environment for participants and their families, maintaining regular communication and responding to concerns or inquiries. Organize and facilitate meetings with participants, families, and support networks to discuss goals, progress, and service modifications. Advocate for participants’ rights and needs, ensuring that their voices are heard in program development and decisions. Always ensure program participants and staff ratios – i.e. step in has a staff when required to ensure participant to staff ratio compliance when needed Financial and Resource Management: Manage the day program budget, ensuring that resources are allocated efficiently to meet program goals and requirements. Monitor program expenses, approve purchases, and maintain financial records as per organizational policies. Ensure the program is operating at optimal capacity by maintaining participant enrollment and managing waitlists as needed. Health and Safety: Ensure that all participants are receiving appropriate health care services, coordinating with medical professionals, caregivers, and other relevant service providers. Monitor the physical and emotional well-being of participants, developing and implementing health and safety protocols to prevent and respond to incidents. Conduct regular risk assessments and ensure compliance with safety and emergency protocols in all program activities. Community Integration and Partnerships: Foster partnerships with local organizations, employers, and community resources to create opportunities for community-based learning, social interaction, and employment for participants. Promote and coordinate community integration activities, such as volunteer work, recreational outings, and educational events, aimed at building participants’ independence and social inclusion. Crisis Intervention and Problem Solving: Serve as the primary contact for crisis situations, offering direct intervention, guidance, and support to staff and participants when behavioral or emergency situations arise. Train staff in crisis prevention and intervention techniques, and maintain a calm, supportive environment for both participants and staff during challenging situations. Timecard and approval: Train staff in using the time clock system to submit their timecards accurately reflecting the hours worked during each pay period. Responsible for reviewing and approving each employee’s timecard within one business day after the submission deadline to ensure timely payroll processing. Must verify the accuracy of reported hours, ensuring they align with the program’s schedules and employee attendance. Must check for any: ➢ Missing or inaccurate entries (e.g., failure to log out). ➢ Unauthorized overtime or excessive absences. ➢ Leave requests (e.g., sick leave, vacation) that have not been documented properly. Qualifications: Education: Bachelor’s degree in social work, Psychology, Special Education, or a related field (Preferred). Certified Developmental Disabilities Professional (CDDP) or similar certification (preferred). Experience: Minimum of 3-5 years of experience working in the field of developmental disabilities, with at least 2 years in a supervisory or managerial role. Experience developing and managing day programs or other services for individuals with intellectual and developmental disabilities (IDD). Familiarity with DDD services, and person-centered planning approaches. Skills and Knowledge: Strong understanding of the needs and challenges faced by individuals with developmental disabilities, including behavioral support strategies and health management. Knowledge of state and federal regulations related to developmental disabilities services, including Medicaid and DDD guidelines. Excellent organizational and time management skills, with the ability to manage multiple tasks and priorities effectively. Strong interpersonal and communication skills, including the ability to build positive relationships with participants, families, staff, and external stakeholders. Budget management and resource allocation experience. Proficiency in using relevant software for documentation, scheduling, and record keeping. Required Certifications (Must Have): CPR/First Aid Certification. Prevention & Support. Article 9 Physical Requirements: Ability to assist participants with physical activities, including transfers and mobility assistance, as necessary. Must be able to travel between program sites and community locations as needed. Some lifting may be required. • Ability to stand for some period of time, bend, run, etc. Additional Requirements (Must Have): Background check clearance as required by state and federal regulations. Valid driver’s license and access to reliable transportation. Social Security card Valid Fingerprint card (copy of front and back) Salary Range: • $43,888 - $45,000 annually depending on experience and location. Working Conditions: The DDD Day Program Manager works primarily in day program facilities but may also spend time in community settings with participants or visiting participant homes as needed. Fast-paced environment with loud noise and participants high behaviors. The role typically requires a standard workweek but may include evening or weekend work to meet the needs of the program or participants.
