Job Summary 
• Owensboro Community and Technical College (OCTC) in our Workforce Solutions division is seeking a customer-focused and detail-oriented Administrative Assistant to join our team. It serves as the primary point of contact to internal and external clients, managing front desk operations, and ensuring efficient day-to-day office functions. The ideal candidate will be organized, proactive, and committed to supporting workforce education and training initiatives. 
Job Duties 
• Serve as the first point of contact for visitors, clients, and staff. 
• Provide support to the Workforce Solutions team to facilitate office operations. 
• Assist customers with information and registration for workforce assessments. 
• Manage non-credit courses in the learning management system, including registrations, course materials, rosters, and evaluations. 
• Process computer-based training (CBT) registrations for specialized programs. 
• Prepare receivables, handle third-party billing for non-credit courses, process and post payments accurately, and maintain meticulous records to ensure compliance with regulations. 
• Perform other duties as assigned. 
Minimum Qualifications 
• High school diploma along with two (2) years of relevant work experience is required. 
Preferred Qualifications 
• An associate degree in Business Administration or related field and four (4) years of relevant work experience is preferred.

• Ability to utilize effective communication skills when working with internal and external customers. 
• Must possess excellent oral and written communication skills and positive interpersonal skills. 
• Ability to function well as a team member. 
• Skilled in the use of computerized systems and databases such as Microsoft Office, learning management system (CampusCE), billing systems (Peoplesoft), and other essential systems. 
• Excellent organizational skills and attention to detail. 
• Must be comfortable in a fast-paced environment.
