The Medical Administrative Assistant at New River Valley Regional Jail is responsible for providing essential administrative support to the medical team. This role ensures the efficient operation of the medical office within a correctional environment by managing patient records, scheduling appointments, and coordinating communication between healthcare providers, correctional staff, and external medical services. The ideal candidate will possess a strong understanding of medical terminology, outstanding organizational skills, and the ability to work effectively under pressure in a secure environment. ESSENTIAL JOB FUNCTIONS · Administrative Support: Provide comprehensive administrative support to the medical team, including physicians, nurses, and other healthcare providers. · Patient Records Management: Maintain accurate and up-to-date medical records for all inmates, ensuring confidentiality and compliance with legal and regulatory standards. · Appointment Scheduling: Coordinate and schedule medical appointments, both on-site and off-site, for inmates, ensuring timely access to healthcare services. · Communication Coordination: Act as a liaison between the medical department and correctional facility staff, external medical providers, and other relevant parties. · Medical Billing and Coding: Assist with the preparation and submission of medical billing, ensuring accurate coding and documentation. · Supplies and Inventory Management: Monitor and order medical supplies and equipment as needed, ensuring availability and compliance with safety standards. · Data Entry and Reporting: Accurately enter data into electronic health records (EHR) systems and generate reports as required by the medical team or facility administration. · Compliance and Documentation: Ensure that all medical documentation complies with correctional facility policies, state and federal regulations, and industry best practices. · Emergency Response Support: Assist in the coordination of medical emergency responses, including maintaining accurate records of incidents and following up on necessary documentation. · Training and Development: Participate in ongoing training and professional development to stay current with medical administrative practices and correctional facility protocols. POSITION REQUIREMENTS/PREFERENCES Education Education equivalent to graduation from high school Associate's degree in Medical Office Administration or related field preferred. Experience Minimum of 2 years of experience in a medical administrative role, preferably in a correctional or high-security environment. Certifications/ Licenses Valid Virginia driver’s license with good driving record. Knowledge, Skills and Abilities · Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and electronic health record (EHR) systems. · Certifications: Medical Administrative Assistant certification preferred (e.g., CMAA, CPMSM). · Knowledge: Strong understanding of medical terminology, billing, and coding practices. Familiarity with correctional facility operations is a plus. · Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with inmates, medical staff, and correctional personnel. · Organizational Skills: Exceptional organizational and multitasking abilities, with attention to detail and accuracy. · Security Awareness: Ability to work within a secure environment, adhering to all safety and security protocols.
