Job Summary
The Office Coordinator I is an integral member of our Administrative Services team, providing on the ground support in our local office, and coordinating the work-flow process of the logistics team. This person helps to ensure that the office stays neat and orderly. The Office Coordinator assists and supports all personnel with various duties as needed. This individual will be required to make some independent decisions in prioritizing requests. This individual always presents a professional appearance and demeanor, and represents the firm’s mission, vision, and values appropriately, making our employees and our visitors feel welcome, and providing support and cross-training as needed. This position is paid hourly.
Responsibilities
• Serve as the main point of contact for all building maintenance and facilities requests, facilities support and service calls
• Manage various facility and administrative-related functions in the local office
• Set up and break down/clean- up of conference or training rooms
• Assist with set up or reconfiguration of workstations or offices when needed and office moves
• Submit catering orders for meetings, events, or training sessions
• Assist with other hospitality requests as needed, and recommend ways to improve processes
• Assist with vendor contact and coordination of services
• Maintain a safe, functional, and productive work environment, and ensure the physical appearance of the office meets company standards
• Manage vendor relationships, and make recommendations to leadership regarding options and cost saving initiatives
• Maintains supply inventory of office and breakroom supplies; Orders, receives, and stores supplies
• Accept incoming mail and then process, sort, and deliver it to the proper recipients
• Maintain an adequate supply of shipping materials, such as boxes, tape, and labels. Re-order materials as needed
• Receive and track work orders, such as maintenance needs or supply requests
• Understand and operate office equipment, such as printers, audio-visual equipment, etc.
• Maintain office equipment, such as printers, projectors, etc., and identify the need for any repairs
• Arrange courier requests and/or delivery and pickups from the post office, UPS, FedEx, or other carriers
• Assist with back-up reception coverage as needed
• Other duties as assigned
Requirements
• High school diploma with some college education or equivalent experience
• A minimum of 3 years of customer service experience strongly preferred
• Previous facilities or hospitality experience required
• Excellent customer service and communication skills
• Effective interpersonal and phone skills
• Skilled in all aspects of computer use, including Microsoft Office applications
• Ability to follow directions and prioritize activities
• Ability to network effectively and build relationships with all employees and clients
• Ability to remain professional and flexible under pressure
• Frequently required to lift, move, push, or pull a minimum of 50 pounds
• Possess a valid driver’s license and reliable transportation, and can run errands in all types of weather
