Director of Special Events
Primary Purpose : The Director of Special Events will oversee the successful execution of events that advance the mission and engage the community through careful coordination with appropriate staff and vendors.
Essential Functions
• In support of the CMCM mission, work with the SVP of Strategy & Engagement and other leaders to develop strategy and approach for each event.
• Provide project management leadership for events by coordinating with appropriate staff, departments, contract workers, and vendors to ensure events are successful.
• Identify deadlines and communicate well between staff and external vendors to ensure all aspects of the events - before, during, and after - are well coordinated and meet expectations outlined by the supervisor.
• Create and maintain event budgets; Manage event expenses and coordinate with supervisor to ensure expenses are approved.
• Exude strong event committee management skills to ensure accountability and success of each event.
• Possess strong negotiation skills to ensure CMCM receives the most advantageous financial outcomes.
• Work closely with other Advancement team members to ensure a holistic approach for special event sponsors.
• Work closely with Marketing & Communications team to help develop the coordination of the marketing, advertising, and social media plans for events.
• Work closely with the Director of Internal Logistics to coordinate dining services and space reservations on CM campus.
• Provide ongoing reports to supervisor to show relevant metrics, costs, and revenue generated for each event.
• Ensure all required licenses and liability/insurance forms are secured in a timely manner.
• Provide thorough analysis of each event following the event.
• Works towards achieving yearly "Gold Star" list.
• Other duties as assigned by the Supervisor.
Additional Responsibilities
• Attend professional development trainings and conferences as recommended by Supervisor
Qualifications
• Bachelor's Degree required. Degree in business, public relations, communications and/or marketing preferred.
• Minimum of seven years overall work experience with a minimum of three years experience planning large special events (preferably for a non-profit).
• Strong strategic, economic thinking, and project management skills required.
• Proven track record of success with special event planning and execution.
• Excellent organizational skills and the ability to prioritize while completing multiple assignments. Strict attention to detail is required. Excellent communication, presentation, assessment, problem solving and time management skills.
• Excellent computer skills and knowledge of non-profit software programs and Microsoft Office Suite, experience with Raiser's Edge is a plus.
• Superior communication and organizational skills.
• Ability to work under pressure to meet deadlines.
• Available to work occasional long hours, including evenings and weekends to meet deadlines and achieve goals.
