Job Title: Business Office Assistant and Staffer Department: Business Office Reports To: Nursing Home Administrator FLSA Status: Hourly SUMMARY Supports business office procedures to include, but not limited to: coordinating staffing and building schedules, attendance tracking, payroll, resident trust account support, reports, filing, supporting staff onboarding tracking and personnel documents. Vulnerable Adult Mandated Reporter A mandated vulnerable adult reporter of maltreatment, neglect, abuse of vulnerable residents/tenants. Required to report any alleged maltreatment, neglect, or abuse to your supervisor and appropriate state agencies. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. · Supports Bi-weekly payroll is completion. · Supports Facility staffing needs, monitors overtime and timecards. · Assists with attendance tracking and following up with staff call ins. · Invoice coding and processing. · Supports bank account responsibilities including the petty cash, donation, and general collection fund accounts by balancing accounts, issuing checks, and making deposits. · Assists with new employee onboarding to include: running background checks, E-verification. · Completes reference checks for prospective new employees. · Prepares Competency Based Orientation Packets and training schedules for new employees. · Audits Onboarding documents and employee education completion. · Prepares necessary forms and records; takes minutes at meetings as requested. · Supports inventory ordering for various departments. · Keeps records on contracted staff and reconciles invoices against time records of contract staff. · Ensures new staff have appropriate access to IS systems, supports new badge/fob set up for new employees. · Abide by and assures compliance with facility policies and procedures. · Follows instructions willingly; is able to meet deadlines; demonstrates organizational loyalty and honesty; is punctual and dependable. · Typing correspondence, office forms, reports, notices, lists, and related material. · May be required to attend training or staff development activities. · Responsible for backing up other office positions. · Attends and participates in staff meetings. · Responsible for knowledge of nursing home operations to answer general questions, ascertain the appropriate contact within the home or refer to an outside source in an efficient manner. · Maintains a professional relationship with staff, peers, and upper management. · Adheres to the Departments policy of confidentiality. · Performs any and all other duties as assigned.
