Position Summary
Responsible for ensuring driver files are accurate, completed and processed in a timely manner as well as booking travel for new or current drivers.
Essential Functions
• Background Investigators work closely with Driver Recruiters to ensure that each driver file is complete and ready for orientation or certification class.
• Audits and review files to ensure compliance with J&R Schugel Trucking, Inc. and Department of Transportation (DOT) standards.
• Ensures application is completed to its entirety.
• Reviews employment information (DAC, PRE, and PSP) and confirms that all jobs are listed on the application.
• Verifies the previous 3-year work history (including non-DOT employment) and ensures the last 10 years of previous employment is on the application.
• Documents the attempts to obtain previous employment verifications and record three-good faith attempts from at least three different methods (i.e. fax, email, phone, etc.).
• Reviews accidents on PSP and MVR If there are any accidents reported, update the application to reflect the report. If accident report is needed tag Recruiter and BI Supervisor.
• Reviews tickets and violations on PSP and MVR. If there are any tickets or violations reported, update the application to reflect the report.
• Review criminal background records (i.e. Discover Plus/Supp Crim). If there is a criminal record that comes back adverse ensure that the application reflects the report, any red flags bring to the attention of the Recruiting Director.
• Responsible for ensuring the employment verifications are completed to their entirety including the current/last employers after they are in orientation and CONFIA is signed by the driver.
• Brings all questionable verifications to the attention of the BI Supervisor for review.
• Any adverse information that comes back while driver is in orientation should be sent to Director of Recruiting and BI Supervisor.
• Files are completed and accurate within 30-days of hire.
• Maintains strict confidentiality for all sensitive information, including but not limited to social security numbers, drug screen results, physicals, medical information, addresses, phone numbers, etc.
• Assists department with projects (i.e. welcome packets, postcards, campaigns, etc.).
• Willing to assist other co-workers and work as a team to achieve company goals.
• Coordinate with recruiters for booking travel and lodging for new hires to come to orientation by airplane or bus tickets.
• Call drivers when booking travel regarding their preferences and email itineraries to necessary people and upload into Tenstreet.
• Coordinate with operations, human resources and safety department for travel arrangements and lodging for current drivers as needs arise.
• Assist managing travel spreadsheet with updates of travel arrangements and email daily to the distribution list.
• Review and analyze travel expenditures and make suggestions to senior management on changes to the corporate travel policy to ensure the most effective travel arrangements are being made.
• Assist Director of Recruiting in negotiating lodging rates with hotels near company facilities for drivers and office staff.
• Reconcile and allocate invoices for vendors used for travel and lodging (i.e. hotels, Lyft, etc.).
• Communicate with JRS shuttle driver on pick up times.
• Reporting as requested.
• Performs other duties as assigned or directed by Supervisor.
Position Qualifications
Education
• High School Graduate or General Education Degree (GED) equivalent.
Experience
• 1 or more years of administrative/clerical experience.
• Experience in the transportation industry strongly preferred.
• Experience booking hotels and transportation (i.e. flights, bus tickets, Amtrak, etc.).
Skills & Abilities
Computer Skills
• Proficient knowledge of Microsoft Suite.
• AS/400 and Tenstreet experience strongly desired.
Other Requirements
• Ability to type a minimum of 35 wpm.
• Able to read, write, and speak the English language fluently.
• Strong organizational skills.
• Highly detailed oriented.

This position requires close vision abilities; working on dual computer monitors in an office environment with prolonged periods of sitting at a desk. This position is based out of New Ulm, MN terminal; the essential functions of this job may be able to work remotely only in certain circumstances (i.e. inclement weather or illness related absences) otherwise needs to be in office to print, scan, upload documentation and gather supplies for projects.
