Position Title: Bookkeeper
Accountable To: Store Manager
Primary Objective: To perform daily store accounting procedures
Nature & Scope: Emphasis in this position is on providing management with accurate and timely reporting of the store’s cash flow and ensuring proper security and confidentiality. This position identifies and reports errors and reconciles discrepancies. This position requires on going judgment/decision making, reading, writing, math, computer/calculator operation, and sitting. Position functions and work hours may vary according to business needs. Daily assignments and work direction is provided by the Store Manager or person in charge.
Essential Position Functions:
1. Assist customers and ensure proper service levels and courtesy from all associates
• Greet and thanks customers
• Answer or refers questions and responds to customer requests as needed
• Bring customers to location of item
• Perform price checks
• Respond to customer assistance needs/calls promptly
• Direct customer problems to management as appropriate
• Monitor and ensure prompt, courteous, and accurate customer relation
Functional Requirements
Frequent: Physical – lifting/carrying to 50 lbs., equipment operation (meat slicer and scale, intercom, telephone) reaching, standing, walking, and turning
Mental – judgment/decision making, social skills/verbal interaction, memorization, reading, writing and math
Occasional: Physical – lifting/carrying over 50 lbs., equipment operation (calculator) squatting, stooping/bending and walking
2. Perform daily store accounting procedures

Balance and reconcile all cashier (operator) reports used to reconcile with drawer and communicate with management regarding over/shorts

Perform check encoding

Ensure adequate amounts of change on hand in store and follows procedure in ordering and receiving change

Follow procedure for bank deposits and security service pick ups

Follow procedure for reporting store accounting data (sales, deposits, safe cash, etc.)

Follow procedure for handling cash, food stamps and checks for accountability and security

Verify daily safe count with designated store management

Follow procedure for terminating day’s business and beginning of new reporting period including entering and transmitting sales and deposit information to corporate office

Properly handle in-store customer charges

Follow procedure for coupon handling and shipment

Notify store management of any bookkeeping discrepancies or procedural changes
Functional Requirements
Fr equent: Physical – lifting/carrying to 10 lbs., equipment operation (computer, coin machine, check encoder, check and food stamp endorser, calculator), sitting, standing and turning.
Menta l: judgment /decision making, social skills/verbal interaction, memorization, reading, writing and math
Environmental: – l ifting/carrying 40 lbs., pushing/pulling to 10 force pounds, equipment operation (safe, cash register, fax machine, telephone), climbing stairs, squatting, stooping/bending and walking
Occasional: Physical – equipment operation (forklift)
Mental - math
3. Conduct security procedures for store bookkeeping office, information and contents

Maintain safe, cash drawers, pouches, and locks on all doors for proper security

Maintain confidentiality regarding sales, mix ratios, cash on hand

Ensure proper authorization for admittance to security areas

Ensure only authorized personnel from security service pick up cash deposits

Report discrepancies to appropriate management

4. Provide for clean, efficient organization of bookkeeping office

Order supplies and forms, maintain office cleanliness and maintain office equipment

Ensure clean, organized and safe work area

Maintain store records as required

5. Perform cashiering duties

Scan and process customer orders

Ensure positive customer relations and satisfaction

Ensure proper handling of tender and coupons

Follow front end security procedures

Assist with front end cleaning and maintenance

Utilize proper etiquette for telephone and intercom calls
Functional Requirements
Frequent: Physical – lifting/carrying to 20 lbs., equipment operation (register, scanner, check verification machine, coupon machine, intercom, telephone), turning, reaching, and standing
Mental: – judgment/decision making, social skills/verbal interaction, memorization, reading, writing and math
Physical: l ifting/carrying to 50 lbs., pushing/pulling up to 10 force pounds, squatting stooping/bending and walking
6. Follow all store and department policies and procedures.

Mental – judgment/decision making, reading, writing, social skills/verbal, Interaction and memorization
7. Perform other duties as assigned or delegated
Note: *Within each essential functional requirement, “Frequent” represents approximately 15% of the work shift or at least ten repetitions per work shift. “Occasional” represents approximately less than 15% of the work shift or fewer than 10 repetitions per work shift
