About the College/Unit/Department
Part of the Division of Student Affairs, University Housing consists of nearly 2.8 million square feet of facilities and is home to more than 9,000 students. The department employs 220 full-time staff members, 21 graduate assistants and 565 undergraduate student workers. As a self-supporting auxiliary, University Housing operates a $59 million budget derived only from student housing fees and other non-state sources.
In support of its mission to provide comfortable, affordable and secure housing options where the academic success and personal growth of residents are encouraged and supported, University Housing engages staff members in competency-based training and students in curriculum-based engagement focused on community building, interpersonal skills, social awareness and responsibility, and well-being.

Minimum Qualifications
Requires at least a baccalaureate degree in the field. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.
Preferred Qualifications
• Certifications associated with project management techniques or relevant project management experience.
• Three years of experience in the design or construction industry or conducting projects in residential, hospitality, medical, correctional or higher educational facilities.
• Three years of general work experience demonstrating the ability to manage and conduct simultaneous efforts, coordinate the tasking of other persons and monitor progress of initiatives in student housing or related industries serving the needs of significant constituents.
• Three years of experience working in a comprehensive facilities management operation, preferably in higher education.
Position Summary
The Project Coordinator ensures the successful planning, completion and implementation of University Housing facility improvements, projects, enhancements and renovations. This includes but is not limited to process management, project budget management, the investigation of project solutions/alternatives, communication with key stakeholders, review of plans and specifications, coordination with vendors and suppliers, and frequent visits to work locations for site inspections. This position often serves as a representative of University Housing when communicating with campus divisions/departments during project meetings and other coordinated efforts.
Knowledge, Skills, Abilities and/or Competencies
• Working and practiced knowledge of project management techniques and processes. This includes project planning, stakeholder management, schedules and budget management.
• Knowledge of quality control processes associated with facilities management.
• Skilled in reading construction drawings, submittals, shop drawings and other typical construction communications.
• Demonstrated ability to work independently and with initiative to ensure tasks and projects are on time and within budget.
• Able to facilitate meetings, as well as serve as an active participant. Skilled at documenting meeting activities.
• Proven ability to work and communicate professionally and effectively with a large variety of constituents including university administrators, employees and other stakeholders verbally, in person and via email including the ability to explain complex concepts to a variety of personnel with varying levels of facilities-related experience.
• Proven ability to multi-task, set priorities and resolve issues quickly.
• Capable with Microsoft Office Suite.
• Able to concentrate for extended periods and organize diverse information.

• Safely operate a UGA state vehicle as necessary.

Project Coordination:
• Provide project coordination for facilities improvements, enhancements and renovations to include the development of project scope, plans, timeline and specifications, as well as conducting pre-construction meetings, routine quality-control meetings and close-out/punch-out inspections, as needed.
• Ensure the review of construction documents, submittals and shop drawings by appropriate personnel and reflect departmental and university standards.
• Seek proposals from vendors and suppliers regarding repairs and improvements and work to secure the purchase of any supplies, services and/or equipment needed as part of the project. Monitor project payments and budget, ensuring proper timing of payment for supplies and work within procurement guidelines.
• Provide ongoing onsite inspections to monitor project progress.
• Communicate regularly with outside contractors, as needed, to engage services and ensure project completion.
• Collaborate with the Office of University Architects and Facilities Management Division, as needed, to ensure projects remain on schedule.
• Recommend any corrective action required or possible solutions to eliminate facility deficiencies.

• Coordinate and schedule stakeholder meetings to ensure project scope and design are understood and to answer any project-related questions.
• Document and communicate any key project activities and decisions to stakeholders prior to activity commencement or decision implementation.
• Coordinate any training needed for departmental personnel as a result of project implementation.

Records Management & Other Duties:
• Ensure any documentation related to new assets provided to the Work Control Office. Distribute same documentation, as necessary, to appropriate maintenance and building services supervision.
• Maintain records of projects in accordance with USG records retention policies.
• Serve on other departmental, divisional and university committees as needed.
• Assume other duties as assigned that are consistent with the purpose and scope of this position.
