Under the direction of the Controller, the Payroll Specialist is responsible for accurate and timely processing payroll data, calculating wages, and withholding taxes and other deductions to ensure compliance with tax laws and payroll regulations. The Specialist also assists with the administration of all benefits and retirement programs, including medical, dental, vision, life insurance, spending accounts, short- and long-term disability, and the 401(k) plan. Essential Responsibilities This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities as management may deem necessary from time to time: 1. Implements, maintains, and reviews payroll processing system to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions. 2. Responsible for preparing and submitting the employee bi-weekly payroll. This includes: a. Reviewing employee timecards for completeness and accuracy; b. Coordinating paid time off (PTO), earned safe and sick time (ESST), and unpaid time off requests for approval; c. Entering, maintaining, and processing information including employee hourly rates, flat rates, salaries, commissions, bonuses, or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other data into payroll system; d. Submitting payroll deposits, including direct deposit, child support, benefit payments, and taxes; and e. Running payroll reports. 3. Acts as a payroll software resource for employees and responds to employee/supervisor questions regarding payroll issues; facilitates resolution to payroll discrepancies. 4. Provides administrative support for benefits by assisting human resources with the efficient processing and tracking of benefits enrollment, changes, and terminations. Ensures benefit integrity through verification and investigation within payroll system and reconciles benefit deductions to benefit vendor statements. 5. Assists with payroll and benefits audits and resolves discrepancies. 6. Assists the Controller and accountants with monitoring, managing, and reconciling payroll taxes monthly, quarterly, and annually; submits the 941s; processes and files the W-2s; and manages 1095-C data. 7. Professional communication skills for both internal and external customers, and coworkers. Possess traits of honesty, integrity, creativity and flexibility. Ability to read and comprehend standard operating procedures and company guidelines in order to maintain regulatory compliance. Ability to understand daily production needs. Ability to work independently, multi-task, and prioritize. Ability to perform at a high level in a fast-paced environment with the ability to adapt to a continually changing environment. Punctual and regular attendance. Education and Experience: High School Diploma or General Education Degree (GED) required. Associate’s degree in accounting or related field or a combination of education and relevant work experience. 2 years relevant work experience preferred. Prior experience in accounting is a plus. Basic understanding of Generally Accepted Accounting Principles (GAAP) Working Environment The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
