Position Summary
This position provides administrative, technical, and detailed leadership to the Medical Equipment Planning & Procurement Department (MEQ). The Senior Project Manager (SPM) will support both new construction and major renovation projects for one or more facilities at a time. Projects may include deNovos, new builds, acquisitions, and existing facility support through all phases (planning, design, permitting, procurement, construction, equipment fit-up, closeout, and warranty phases). The primary role of the SPM is to coordinate planning, design, procurement, and deployment of medical equipment for contracted projects. The PM will lead design development and equipment placements, procurement and contract specifications and warehouse and delivery coordination. PM is expected to work in MEQ planning database, Smartsheet, Envi, and Bluebeam and working to keep all electronic project files updated and organized, maintain project budgets for Design and Construction.
Essential Functions
Early Planning/Conceptual Phase:
• Participate in design and development meetings with Design Team and lead equipment specifications, placements, and generation of equipment books.
• May include coordination with the Development department or other Atlas departments.
• Conduct On-Site Equipment Surveys and cataloging of assets.
• Perform preliminary site walks, if needed.
• Attend Internal Project Kickoff Meetings.
Design Phase/Project Kickoff (some tasks during this phase may continue into other phases):
• This phase typically commences after JV Board approval.
• Aid D&C in monitoring the loan process (eg: BALC loan) to ensure funds are available to pay vendors when needed.
• Manage MEQ support documents in Atlas S-drive.
• E-builder Responsibilities (Budget Management):
• Report out MEQ Budgetary Costs to D&C for reporting of variances.
• Build out of Room x Room equipment lists in MEQ planning database for acquisitions (existing) and deNovo (new) equipment categories and costs.
• Uploading of survey photos for acquisitions for record of acquired assets.
• Attend design meetings with Atlas, MEP Engineers, Contractor, and other parties as required.
• Direct Procurement Support to MEQ team on Contractor Installed categories in finalizing purchase documents.
• Source vendors (may involve 3-4 vendors to obtain competitive bids)
• Procure proposals/bids. Thoroughly review prices to ensure equal coverage.
• Negotiate pricing as needed.
• Select vendor and authorize Purchase Order via the Envi IOS software.
• Input and track PO utilizing MEQ’s Smartsheet Software
• Provide review and approval of invoices in MEQ’s Smartsheet Software, as necessary.
• Coordinate work with GC schedule to ensure timelines are not impacted by our vendors.
• Be onsite and inspect delivered equipment, as needed.
• Assist in engaging internal Atlas stakeholders and end-users to ensure design meets Operational needs.
Permitting Phase (typically lead and managed by the Architect with involvement from this position):
• Keep informed when architect submits design to local AHJ
Construction Phase
• Prepare for and Attend Weekly Owner/Arch/Contractor Construction Meetings
• Responsibilities when procuring Owner-Direct items may include, but not limited to:
• Direct sourcing vendors (may involve 3-4 vendors to obtain competitive bids)
• Direct proposals/bids. Thoroughly review prices to ensure equal coverage. Utilize bid abstracts if required to analyze pricing.
• Negotiate pricing as needed.
• Select vendor and authorize issuance of Purchase Order via the Envi IOS Software
• Coordinate work with GC schedule to ensure timelines are not impacted by our vendors.
• Inspect completed work.
• Gather Project Closeout (eg: warranty letters, asbuilts, maintenance manuals)
• Engage on RFIs, submittals, misc communication with architect and general contractor as directed by MEQ team.
• Assist to ensure Atlas AP is paying vendors timely.
Support MEQ Team In Equipment Fit Up/Mobilization Phase
• Ensure timely delivery to meet overall project timeline.
• Coordinate warehouse and delivery services.
• Inspect and manage onsite deliveries.
• Provide troubleshooting support.
• Validate Room Sheets as part of project close out.
• Expedite outstanding orders.
Closeout Phase
• Attend Punchlist Walk with Arch & GC.
• Provide MEQ Support for Licensure
• Accreditation: Support Operations through a successful accreditation (Joint Commission or AAAHC)
• Coordinate with Clinical Engineering service provider on warranty and service of MEQ.
Acquisitions
• Awareness and file creation on upcoming Acquisition Projects
• Setup new projects in the MEQ Planning software.
• Understand how the business acquisition affects licensing, “grandfathering”, accreditation, etc.
• Help to coordinate, schedule, and execute an onsite Due Diligence Facility Review with all pertinent parties.
• Coordinate MERC for on-site MEQ survey and Fair Market Value (FMV) efforts.
• Generate final Summary Report and Room x Room with Images reports for Due Diligence Reporting to Development Team
Misc
• Direct Administrative tasks related to Asset Sale/Purchase transactions between ASCs.
• Complete tracking of sold/bought assets in pertinent project files in Smartsheet.
• Support decommissioning tasks in support of ASCs.
• Other duties as required.
• Performs all functions according to established policies, procedures, regulatory and accreditation requirements, as well as applicable professional standards.

Minimum Qualifications
• Must possess a working knowledge of architecture, general contracting, construction, and medical equipment planning and procurement, normally demonstrated through experience and on-the-job training in these fields.
• 7-10 years of progressive project management experience preferably in healthcare related construction and medical equipment.
• Experience with conceptual planning, design, permitting, construction, medical equipment planning, procurement, licensing, and accreditation is preferred.
• Requires strong written, verbal and interpersonal communications skills to motivate team performance.
• Must be able to schedule and manage diverse resources and provide meaningful feedback to various constituents. Requires ability to listen, negotiate, and resolve conflicts.
• Must be able to work independently and effectively align resources to achieve system goals. Must exercise independent judgment and be able to maintain confidential information.
• Clinical engineering and medical equipment survey experience preferred, including wide breadth of knowledge about all medical equipment categories.
Preferred Qualifications
• Bachelor’s degree preferred.
• Additional related education and/or experience preferred.
