Definition Position Summary : The Patient Portal Coordinator is responsible for supporting patients in accessing and utilizing the electronic health record (EHR) system. This role involves assisting patients with portal registration, troubleshooting technical issues, providing education on portal features, and ensuring a smooth and positive experience for patients interacting with their electronic health information. This job class is treated as FLSA Non-Exempt. Essential Functions: Essential functions may vary among positions, but may include the following tasks, knowledge, abilities, skills, and other characteristics. Examples of Tasks Patient Support: Assist patients with the registration process for the patient portal. Provide step-by-step guidance to patients on how to navigate the portal and access their electronic health records. Respond to patient inquiries and troubleshoot issues related to portal access and functionality. Technical Assistance: Resolve technical problems that patients encounter when using the patient portal, including login issues, password resets, and access errors. Coordinate with IT support when necessary to address complex technical issues. Education and Training: Conduct educational sessions for patients to demonstrate the features and benefits of the patient portal. Create and distribute instructional materials, such as user guides and FAQs, to help patients use the portal effectively. Communication: Serve as the primary point of contact for patient portal-related questions and concerns. Communicate clearly and empathetically with patients to ensure they feel supported and informed. Data Management: Ensure accurate and secure management of patient information within the portal. Monitor portal usage and report any issues or trends to the HIM Manager/Director. Compliance: Adhere to HIPAA regulations and organizational policies to protect patient privacy and confidentiality. Stay informed about changes in regulations and best practices related to electronic health records and patient portals. Continuous Improvement: Gather feedback from patients about their portal experience and suggest improvements to enhance usability and satisfaction. Participate in ongoing training and development to stay current with EHR system updates and enhancements. Perform other job related duties as assigned to improve department operations. Knowledge, Skills, Abilities, and Other Characteristics: Knowledge of the history, culture, laws, rules, customs and traditions of the SRPMIC. Knowledge of the purpose, current issues, projects, organization, policies, and employee responsibilities of the division to which assigned. Knowledge of Patient Portals preferably Epic MyChart. Knowledge of healthcare industry regulations and compliance, including HIPAA. Knowledge of standard healthcare organizational metrics. Knowledge of Healthcare operations. Ability to problem solve independently and escalate to multiple team members as needed Strong technical troubleshooting abilities. Excellent communication and interpersonal skills. Ability to explain technical concepts in a clear and patient-friendly manner. Attention to detail and strong organizational skills. Minimum Qualifications Education: High school diploma or equivalent; Associate’s degree or higher in Health Information Management, IT, or a related field preferred. Certifications: Certification in Health Information Management (RHIT or RHIA) or related fields is advantageous but not required. Experience: 1 year experience in a healthcare setting, customer service, or IT support. Familiarity with EHR systems and patient portals is a plus. Equivalency: Any equivalent combination of experience and education that will allow the applicant to satisfactorily perform the duties of the job may be considered when filing the position.
