DESCRIPTION Under the general supervision of the Director of Business Operations, the Office Coordinator – Human Services this position supports the mission of Blue Earth County Human Services by effectively and efficiently delivering essential services to families and individuals so they can achieve their potential through active community participation. The Office Coordinator – Human Services is responsible to support the Human Service’s administrative team and related service systems by coordinating and monitoring tasks and functions, leads work activities, implements, and maintains administrative policies and practices, administers, and maintain department specific equipment and software. This position performs a variety of professional responsibilities in the areas of coordinating and providing oversight of clerical operations; providing clerical support; assisting the public; prepares minutes, assists in the preparation and distribution of materials; coordinates special events and meetings; operates data management systems; coordinates and facilitates special projects; performs administrative functions in support of the management team; and participates in professional staff development. This position will coordinate, provide leadership, and work direction to unit employees. This position requires independence and judgement. DUTIES / RESPONSIBILITIES ESSENTIAL FUNCTIONS: Coordinates and monitors tasks and functions and leads the work activities of departmental clerical and office support employees. Act as a technical resource and lead worker for clerical and support operations. Assigns job duties. Demonstrates and provides leadership regarding knowledge of rules, policies, and procedures. Coordinates the resolution of problems and challenges and assists in finding and implementing solutions. Communicates information to clerical staff in a clear and effective manner. Develops and maintains databases and spreadsheets. Performs data entry, data maintenance, and the integrity of various data systems. Maintains records, responds to records requests, performs data retention functions. Operates, troubleshoots, and provides technical support to Human Services employees on system software. Advises and assists program supervisors and/or coordinators to improve workflow and system updates. Researches and recommends new software programs as needed. Provides direct support for Human Services Administrative Team. Processes various reports, correspondence, and documents. Maintains schedules, inventories, and statistical databases. Helps prepare documentation and processing of new employees. Ensures office equipment is in working order. Distributes correspondence to departments and staff on behalf of management. Attends meetings, prepares agendas and supporting documents, distributes information to attendees, takes meeting minutes and performs meeting follow up, as appropriate. Assists with special projects and participate in workgroups as assigned. Assists in systemic planning efforts. Creates and updates directories, forms, documents, and presentation materials as needed for the department. Provides administrative support for grants management. Processes reports, correspondence and documents related to various human services grants. Trains employees on policies, procedures, computer systems, and other office equipment as needed. Communicates with staff and informs them of changes to policies and procedures. Provides information to the general public as requested, directs inquires to appropriate staff. Handles phone calls on a day-to-day basis in reference to general questions. Promotes a diverse, culturally competent, and respectful workplace. Interact positively with internal and external customers. Communicate and interact effectively and respectfully with employees, supervisors, individuals from other organizations, and customers. Perform the physical demands of the position. Attend work during regularly scheduled hours. ADDITIONAL FUNCTIONS: Trains and mentors new staff as requested. Perform clerical functions. Fills in as needed in the absence of other clerical staff. Participates in professional staff development. Participates in training and education opportunities to maintain and improve proficiency. Attends and participates in professional organizations. Associates with employees and departments from other counties and states for collaboration. Perform other related functions as apparent or assigned. QUALIFICATIONS MINIMUM QUALIFICATIONS: Post-secondary education in clerical/administrative field, or related field, and four (4) years of clerical/administrative or related experience Or Equivalent combination of education and experience necessary to perform the essential functions of the position. Experience with Office productivity suites such as Microsoft 365 or Google Workspace products. PREFERRED QUALIFICATIONS: Bachelor’s degree in social work, Accounting, Business Administration, or related field. Experience with data management systems Fluent in understanding and speaking languages other than English such as: Spanish, Somali, Chinese, Sudanese, or Arabic. CONDITIONS OF EMPLOYMENT: Must comply with all federal and state laws and organizational and departmental policies and regulations. Must successfully pass a background check. Must possess a valid driver’s license and be able to drive in the State of Minnesota. Must comply with data practices policies and standards relative to non-public data. Any access to non-public data should be strictly limited to accessing the data that is necessary to fulfill mandatory duties. While data is being accessed reasonable measures must be taken to ensure privacy standards are not breeched. All data must be properly stored according to county policy and the Minnesota Statutes. HOURS OF WORK Monday through Friday from 8:00 a.m. to 5:00 p.m. Some evening and weekend hours may be required.
Salary: $57,636.80 - $80,745.60 a year
