We work with donors to achieve their philanthropic goals by advising them, providing resources, and enabling them to create community change. https://www.azfoundation.org/ Position Description: Arizona Community Foundation is seeking a highly skilled, experienced Executive Assistant to join their team. The Executive Assistant is the principal contact point and chief scheduler and coordinator for the foundations Chief Impact Officer (CIO) of the foundation. This position requires an individual who manages multiple tasks simultaneously, possesses grace and composure under pressure, builds strong, enduring and effective interpersonal relationships, interacts with all staff positively in a fast paced environment, solves problems creatively, takes initiative, attends to details, anticipates needs and responds nimbly to unforeseen circumstances. The executive assistant must be flexible, exceptionally well organized, proactive, resourceful, efficient, possess a high level of professional maturity, and maintain complete confidentiality. Expert written and verbal communication skills, strong decision-making ability and the skill set to track multiple activities are essential. Incumbent must learn or possess detailed knowledge of the foundations operations, procedures, products and services and personnel. Responsibilities: Manages, prioritizes and organizes the CIOs calendar, schedule, activities and special events, and expense reports. Must understand pacing and prioritization for scheduling. Coordinates, schedules and attends Impact Team meetings, senior team meetings and other meetings as assigned by the CIO. Ensures CIO is prepared for meetings, events and presentations and has necessary resources and materials for each. Prepares and posts agendas and materials, takes minutes and is accountable for follow up items for CIO and other senior team members. Communicates and handles incoming and outgoing electronic and written communications on behalf of the CIO as requested. Models core values and reinforces CIOs quality requirements and standards foundation-wide. Ensures Impact Team members meet deadlines and assists CIO with work that collaborates with other business units in communicating, coordinating and integrating work. Prepares PowerPoint decks, presentations, and talking points for meetings as needed. Researches and prepares background materials for all meetings with new and/or potential donors. Arranges travel schedules and reservations as needed for the CIO and other Impact Team leadership as needed. Screens and directs calls to appropriate Impact Team member or other appropriate staff outside of the Impact Team and previews incoming mail (electronic and paper) for CIO using independent judgment to respond as necessary. Helps set priorities and tracks delegation of tasks to staff. Assists with Impact Team project work, ensuring follow-through on assigned tasks for team members included in the work. Collaborates and builds strong relationships with colleagues and ensures regular interactions and teambuilding with other assistants and coordinators across the organization. Knowledge or Skills Excellent verbal and written communication skills, with specific experience/expertise in formal business communications at the executive level. High degree of accuracy with grammar, spelling, punctuation and formatting required. Strong teamwork and outstanding interpersonal skills. Demonstrated experience in working successfully with a diverse group of constituents that represent local and statewide communities and national partners. Strong technology and software skills including word processing, spreadsheet usage, presentation design, database familiarity and manipulation, and basic troubleshooting. Experience with Microsoft Office products required. Must have excellent calendar and scheduling management skills. Must be extremely well organized and detail-oriented with the ability to multi-task. Possess a sense of personal warmth, genuine interest in others, and the ability to engage constituents in conversation while maintaining a professional manner. Education and Experience Requirements Minimum of five (5) years prior experience as an executive assistant or administrator to a senior level executive. Degrees or certifications welcome, but not required. Experience with Microsoft Office products required. Proficient in Microsoft Office 365 Suite (Excel, Outlook, Word, PowerPoint), Adobe Acrobat, virtual meeting and web platforms. Experience with Salesforce or other CRM systems helpful.
