Purchasing SpecialistThis is a Temporary, Short-term assignment expected to last approximately 6 months.Day ShiftLocation: Martinsville, VAPrincipal Accountabilities:Perform a variety of duties such as the maintenance of updated purchase records, making purchases of urgent materials and/or transportation service for materials or products to other locations.  Resolve routine issues and escalate non routine issues.Essential Functions:Manage Procure to Pay (COUPA) business spend management system to include purchasing, receiving and approvals of payment for purchases and services for the Martinsville DC.Collaborate with vendors to verify current pricing for operation facility supplies and identify alternate sources if pricing variances exist.Review and analyze vendor invoices to ensure accuracy in billing and payment terms.Collaborate with Finance and Operations on managing, tracking and approving WEA (Work and Expenditure Authorizations) all Distribution Capital Projects for the Martinsville DC.Liaison between Coupa and Procurement team to investigate, identify, reconcile, and resolve catalog and portal pricing issues with suppliers and vendors.Facilitate and create process improvements for newly implemented access database that tracks purchase orders and receipts for all Vendors who provide operational and facility supplies.Develop, prepare, monitor, and submit monthly financial expenditures to Finance based on fiscal calendar to ensure weekly and monthly expenditures do not exceed forecast allowances. Reporting assists in determining if forecast adjustments needed for facility.Manage Sprocket (Supply Inventory Management System) by partnering with Maintenance Manager to identify potential vendors that can provide operational and facility supplies.Responsible for verifying, receiving, monitoring and tracking supplies in Inventory Supply Room to ensure there are no out of stock items.Assist with other items, projects and assignments as needed.Physical Requirements:This position requires the associate to work in the office and on the production floor. The associate must be able to walk, stand or sit for extended periods. The associate must be able to bend, stoop, climb stairs and lift a minimum of 40 lbs.  Temperature in the warehouse or dock varies according to external climate.Education / Experience / Skills Required:High School diploma or GED equivalency required; higher education preferredOne year of experience in a similar role preferredWorking knowledge of Microsoft Outlook, Excel and Word programs strongly preferredCompany specific software used is PKMS and COUPA, experience is preferredAbility to work in fast-paced, deadline-oriented environmentAbility to communicate effectively with variety of individualsAbility to pay close attention to detailStrong communication and organizational skillsMust be able to speak, read and write in the English languageR-20240729-0048
