Purchasing Coordinator, North Georgia
This position will be based at our Athens location and will have assigned locations of Athens, Thomson, and Dallas, Ga to coordinate purchasing and inventory processes.
SUMMARY:
Under limited supervision, manage the lubricant purchasing and transfers for assigned locations. Support inventory management and processes for assigned locations.
ESSENTIAL DUTIES AND RESPONSIBILITIES Include The Following.
These are functions a qualified incumbent or applicant must be able to perform with or without reasonable accommodation.
• Prepare and coordinate the activities related to the procurement of product and service equipment in accordance with targeted inventory levels and on-time delivery requirements.
• Coordinate procurement activities with operations and sales to ensure that inventory levels coincide customer delivery expectations.
• Administer the supply base with emphasis on cost reductions, quality improvements, on-time delivery, inventory and lead time reductions, and customer focus. Negotiate pricing.
• Ensure that all suppliers are informed of our purchasing terms, packaging requirements, and other related specifications.
• Contact vendors for follow-up on delivery dates. Inform Sales and Operations of any delays.
• Work with Accounting and vendors to resolve any invoice discrepancies in a timely manner.
• Review ordering levels and manage active, slow moving, and obsolete stock in coordination with Sales.
• Collaborate on collection and retention of compliance documents like SDS sheets.
• Order lubricant products to maintain appropriate inventory levels for all Boswell locations.
• Develop and maintain good working relationships with vendors.
• Receive incoming purchase orders and transfers into the system.
• Set-up new products in appropriate purchasing and inventory tracking systems.
• Support inventory accuracy though processes like cycle counts and month end count reconciliation.
• Review and investigate over/short reports during month end inventory.
• Setup and maintain min/maxes and bin locations in the system. Make recommendations for updates to the min/maxes and bin locations as needed.
• Maintain a solid understanding of inventory SOP and communicate observed exceptions to the appropriate personnel.
• Assist with fuel inventory management when needed.
• Assist in the implementation of improvement projects or system enhancements, which will result in efficiency improvements, quality improvements, and/or cost savings.
• Maintain adherence to Company policies, safety standards, and good housekeeping practices.
• Problem solve issues as necessary.
• Maintains cleanliness of work area and equipment.
• Follow all department work instructions.
• Follow prescribed safety rules and foster an environment where employee safety is a top priority.
• Perform other duties as assigned.
Other (Non-Essential) Functions:
Includes functions which are normally performed by persons holding this title. However, these functions
may be assigned to other employees as part of a “Reasonable Accommodation” under the ADA.
• Crosstrain to assist in other departments.
• Travel to other Boswell facilities or vendor sites to provide or receive training and support purchasing and inventory processes.
• Qualify new suppliers to ensure that their capacity, material management, and quality programs meet or exceed business requirements.
• Compare vendors for competitive pricing and consistent service.
SAFETY REQUIREMENTS:
Required and responsible for employee safety, attending safety training, complying with all company safety and work policies and reporting all accidents/injuries immediately to their Manager and HR Department.
SUPERVISORY RESPONSIBILITIES:
None.

EDUCATION and/or EXPERIENCE:
The minimum education required for this position is a high school diploma or equivalent, preferably an Associates Degree in business management or related field. Minimum 2 years’ experience in purchasing and/or inventory management; or equivalent combination of education and experience. Experience in the petroleum industry strongly preferred.
LANGUAGE SKILLS:
Ability to read, analyze, and interpret documents; to respond effectively to the most sensitive inquiries or complaints. Ability to read, speak, and write the English language. Ability to present prepared information to a variety of groups including drivers, employees, and management.
MATHEMATICAL SKILLS:
Ability to comprehend and apply the principles of mathematics. Ability to work with mathematical concepts such as fractions, percentages, ratios and proportions to practical solutions. Knowledge of costing and production methods in a manufacturing environment.
REASONING ABILITY:
This position requires an ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to define problems, collect data, establish facts, and draw valid conclusions.
CERTIFICATES, LICENSES, REGISTRATIONS:
May need to possess and maintain a valid driver’s license and a driving record satisfactory to the Company and its insurers.
OTHER SKILLS AND ABILITIES:
Computer skills to include working knowledge of Windows, Microsoft Outlook, Excel, Word, PowerPoint, any Web Browser, ERP systems, CRM platforms and/or Access system.
