JOB SUMMARY: As the Personal/Executive Assistant to the CEO, you will play a pivotal role in maximizing the CEO's efficiency and productivity by providing comprehensive administrative, organizational, and personal support. This role requires a high level of professionalism, discretion, and trust, as you will handle critical and confidential tasks. Additionally, you will take on various errands and minor tasks with a positive and proactive attitude, ensuring seamless daily operations for the CEO. Assist in errands such as picking up lunch, bringing vehicles for regular maintenance, etc. Anticipate the CEO’s needs and provide timely support and solutions. Build and maintain professional relationships with clients, partners, and staff Serve as the primary point of contact between the CEO and internal/external stakeholders Organize and prioritize incoming emails, phone calls, and other communications, ensuring timely responses and follow-ups. Prepare and edit correspondence, communications, presentations, and other documents. Assist in preparation of meeting reports, agendas, and meeting minutes Coordinate any off-site meetings or business dinners, including venue selection and technical arrangements and attend such events to ensure any issues are promptly addressed Manage sensitive and confidential information with the highest level of integrity and discretion Coordinate and manage projects of special interest to the CEO Make travel arrangements, create itineraries, and travel with the CEO to ensure all aspects of business travel run smoothly Assist in travel accommodations for guests of the CEO at special events Adapt to changing priorities and demands in a fast-paced environment. Be available for urgent tasks and assignments outside of regular working hours. Implement systems and processes to enhance organizational efficiency. As trust builds, provide recommendations and insights to support the CEO’s decision-making process and address and resolve issues on behalf of the CEO, making decisions within the scope of authority.
