DESCRIPTION Under the supervision of a Community Corrections Supervisor, this position supports the mission of the Blue Earth County Community Corrections Department by promoting the safety of all citizens by assisting in building offender competencies through increased community collaboration and to help restore the victim's sense of security when affected by crime. The Clerical Specialist III – Corrections performs various clerical duties for Probation Officers, management, and the office coordinator. This position is responsible for receptionist duties, data entry, transcription, scanning, e-Filing, editing, updating documents, collecting money, and issuing receipts. This position will also enter and maintain information with the Court Services Tracking System (CSTS) and Laserfiche and utilize database systems to obtain information regarding criminal files. DUTIES / RESPONSIBILITIES ESSENTIAL FUNCTIONS: Enters, maintains data, and distributes agent work in CSTS and Laserfiche. Opens and processes new cases in databases. Enters sentencing and disposition orders for offenders with a high level of accuracy. Inputs, maintains, and updates information into CSTS. Enters completed tasks into CSTS and closes out cases. Accesses confidential and private information from State, County and City databases; determines and maintains proper usage of the data. Performs clerical duties. Answers incoming calls and directs calls to appropriate staff. Greets visitors and directs clients to appropriate staff. Obtains intake and background information from clientele coming from court and jail. Assists public and answers general information questions. Schedules, cancels, and reschedules appointments. Faxes, photocopies, and prepare envelopes for mailing. Collect payments for client fees, issues receipts and documents in CSTS. Prepare and send billing statements to clientele. Assists with revenue recapture of unpaid client fees. Process accounts payable and accounts receivable. Prepare billing statements for services rendered, receipt invoices, and monitor payment. Review and enter accounts payable into the financial system for proper payment and run statistical budget reports. Prepares agency bank deposit and receipting in of electronic funds. Completes general office duties. Prepares files for storage. Shreds documents. Identifies problems and recommends methods for resolution. Distributes mail. Maintains copier, printer, and fax machines. Prepares files for scanning and will scan documents for electronic storage. Orders and maintains inventories of office supplies. Formatting and transcription. Assists in layout, format, and design of documents. Provides transcription services as needed. Produces reports with a high level of accuracy and aesthetic appeal. Communicates and interacts effectively and respectfully with employees, supervisors, individuals from other organizations, and customers. Performs the physical and mental demands of the position. Associates with employees and departments from other counties and states for collaboration. Assist in scheduling and record keeping for STS and CWS clientele. Performs other related functions as apparent or assigned. QUALIFICATIONS MINIMUM QUALIFICATIONS: Associate degree in- clerical/administrative, criminal justice or related field and a minimum of three (3) years of general clerical or administrative support experience. OR Associate degree in clerical/administrative, criminal justice or related field and a minimum of one (1) year direct administrative experience in a law enforcement setting. PREFERRED QUALIFICATIONS: Experience working with the Microsoft Office Suite or similar software. Experience with data management systems such as CSTS and Laserfiche. Fluent in understanding and speaking languages other than English such as: Spanish, Somali, Chinese, Sudanese, or Arabic. CONDITIONS OF EMPLOYMENT: Must successfully pass a background check. Must comply with all federal and state laws and organizational and departmental policies and regulations. Must comply with data practices policies and standards relative to not public data. Any access to not public data should be strictly limited to accessing the data that are necessary to fulfill the employment responsibility. While data are being accessed, incumbent should take reasonable measures to ensure the not public data are not accessed by individuals without a work reason. Once the work reason to access the data is reasonably finished the not public data must be properly stored according to county policy and the Minnesota Statutes. HOURS OF WORK Monday through Friday from 8:00 a.m. to 5:00 p.m. Some evening and weekend hours may be required.
Salary: $51,916.80 - $72,737.60 a year
