Minimum Qualifications
Requires technical knowledge in the field acquired through an apprenticeship, a 2-year degree, or professional certificate. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.
Preferred Qualifications
• Professional experience in a human resources environment
• Working knowledge of the employee life cycle; In particular, the stages of recruitment and onboarding of staff
• Professional event planning/execution experience
• Experience using PowerPoint and/or Canva to create presentations
• Experience with project tracking systems
Position Summary
The Talent Management Coordinator is an integral part of the Talent Management team. The individual is responsible for assisting the Senior Director Talent Management as well as other departmental team members with project tracking, event planning, administrative processes related to talent recruitment and acquisition, office administrative support, and communication of the goals, initiatives, and programs managed by the Office of Talent Management.
Knowledge, Skills, Abilities and/or Competencies
• Professional experience in an office setting
• Excellent oral and written communication skills and the ability to deal effectively and professionally with a variety of persons at all levels of management within and external to a university environment
• Self-starter and highly motivated
• Experience working in an environment that priorities cross-collaboration among teams, departments, and functional areas
• Proficiency with typing and skilled in Microsoft Word, Excel, and Outlook
• Extreme attention to detail and organizational skills
• Proficiency in planning, organizing, prioritizing multiple tasks, and meeting critical deadlines
• Ability to learn new computer-based data management systems
• Ability to provide solutions
• Strong professional business ethic to handle and maintain confidential information
• Familiarity with an applicant tracking system ( ATS )

Talent Recruitment and Acquisition
• Maintain a database of external posting resources for the Talent Acquisition Specialist.
• Post job announcements to external sites as requested by Talent Acquisition Specialist and monitor and manage when to remove announcements from external sites.
• Send communications related to the talent acquisition process, including but not limited to interview itineraries, regret emails, and feedback forms.
• Manage the workflow in the applicant tracking system as requested by the Talent Acquisition Specialist.
• Use Microsoft Teams to track and manage the talent acquisition process, including but not limited to updating the weekly recruitment report and communicating with hiring managers and search committee members as directed by the Talent Acquisition Specialist and Senior Director of Talent Management.
• Monitor the departmental email account to maintain timely responses to incoming mail.
• Organize and secure candidate travel arrangements; Create and distribute candidate's travel itinerary; Provide candidates with appropriate documents and instructions related to the reimbursement process; Collect necessary documentation for reimbursement and submit to assigned administrative support staff for processing; Monitor and ensure candidate reimbursements are processed and received in a timely manner.
• Establish and maintain confidential and general files of the department.
• Possess and manage Procurement Card responsibilities.

• Assist with onboarding process implementation for new hires as requested by the Talent Management Specialist.
• Research, recommend, assemble, and deliver new employee welcome materials.

Event Planning and Project Tracking
• Assist the Senior Director of Talent Management with tracking departmental-wide events and projects using Microsoft Teams and/or other project management tools.
• For department managed events, assist the lead in event planning and day of coordination, including, but not limited to, booking venues, ordering, and purchasing supplies, hiring caterers, assist with set up, tear-down and clear up operations.
• In coordination with departmental staff, create feedback surveys to distribute after events, meetings, retreats, and workshops.
• In coordination with departmental project lead staff, design, development, and implementation of materials for meetings, events, retreats, and workshops.
• Serve as project lead for employee and student awards programs. In coordination with departmental staff, manage the nomination process for the Sic 'Em Award and the Teresa Harris Guthrie Student Award.
• Coordinate the work anniversary recognition program. Determine the theme, identify the recognition item, and distribute it to employees.
