Senior Coordinator for Facilities and Operations
Position Summary
The Senior Coordinator for Facilities & Operations plays a pivotal role within the Tate Student Center, directly reporting to the Assistant Director for Facilities & Operations. This leadership position is instrumental in driving the seamless functioning of operations across multiple key areas including the Tate Student Center, Memorial Hall, UGA Chapel, Legion Field, and Quarters A. With oversight of approximately 50 student staff members, including Information Desk Associates and Building Managers, this role is central to maintaining high standards of service, environment, and efficiency of Facilities & Operations.
Job Duties/Responsibilities
(40%) Student Staff Development and Supervision
• Coordinate the hiring, training, scheduling, supervision, and evaluation of 50 student staff consisting of Building Managers and Information Desk Associates.
• Ensure facility is properly staffed at all times during the evening and weekend operating hours.
• Provide ongoing training and supervision to enhance the professional and personal growth of all student staff members under the Facilities and Operations purview.
• Oversee the maintenance and advancement of our established learning and training platform on ELC (eLearning Commons).
(20%) Evening and Weekend Facilities Support
• Provide evening and weekend leadership for the Tate Student Center and Memorial Hall.
• Conduct building inspections and serve as a liaison to the Facilities Management Division for maintenance and custodial concerns.
• Resolve situations relating to facility access, reservations, and usage policies
• Work cooperatively with other staff members to plan, organize, and supervise activities, which includes distributing event schedules daily and actively engaging in weekly planning meetings.
(15%) Administrative and Game Day Operations Support
• Maintain organization of daily operational paperwork and distribute to appropriate personnel as deemed necessary for the success of the department.
• Coordinate and keep accurate running inventory/record of all student staff uniforms.
• Serve on committees at the department, division, university, or community level to foster professional growth and development.
• Maintain a clear and efficient filling and distribution system for all operational paperwork, both digital and physical; Collaborate with building occupants to understand their document and communication needs and adjust distribution processes accordingly.
• Attend and actively participate in all professional staff meetings, training sessions, and departmental events.
(15%) Gaming Operations Oversight
• Responsible for the overall maintenance, supervision, and daily operations of the game room and billiard area in the Tate Student Center.
• Assist in budget planning and purchasing of new equipment and supplies.
• Perform routine maintenance on all equipment, including cleaning and minor repairs.
• Monitor usage to ensure proper compliance with all usage policies.
(10%) Building Emergency Action Plan(s) (BEAP) Development and Facilitation
• Support the Assistant Director in the scheduling and facilitation of respective BEAP’s for the Tate Student Center and Memorial Hall among full-time staff.
• Ensure all student staff members of Facilities & Operations are properly trained on their roles during emergency procedures.
• Assist in the maintenance and advancement of websites and materials related to the Building Emergency Action Plan(s) (BEAP).
• Foster collaborative relationships with the Office of Emergency Preparedness and the University Police Department.
