Preferred Qualifications Position Summary
The Dining Administrative Manager reports to the Executive Director of Dining Services and plays a key role in enhancing the overall dining experience for guests on campus by directly managing the activities of meal plan operations, guest experience initiative, and the Dining Services Administrative office student staff. This position is responsible for the oversight of Meal Plan Program Purchases. This incumbent acts as an expert in providing customer support for all meal plan sales and works to ensure customer satisfaction throughout the duration of the purchasing process. This position oversees the planning and execution of on-campus visits, including group dining, summer camps, and new student orientation. This position oversees the daily duties of all aspects of the dining administrative office. The incumbent recruits, interviews, hires, trains, supervises, and evaluates student staff, while also collaborating with various stakeholders such as students, parents, university groups, alumni, vendors, and others to ensure a seamless dining experience for all.

• Able to prepare working schedules for employees.
Physical Demands
• Work in an office environment; accessing UGA facilities, intensive computer work, filing, standing, walking, climbing stairs and occasional lifting, bending and squatting 8 hours a day/5 days a week.
• Move loads up to 50 lbs., unloading and stocking products; perform push/pull activity with products weighing up to 30 lbs.; perform duties with repetitive motion of wrists, arm, and shoulder, possess hand and finger coordination; reach, climb, balance, crouch, twist, crawl, and kneel; and work in noisy, hot/cold environments with chemicals, cleaning equipment, dust, fumes, and odors. Work long hours standing.

Meal Plan Administration:
• Manages all aspects of Dining Services' meal plan sales to include all purchases, refunds, and customer inquiries.
• Responsible for the administration and maintenance of all Dining Services' meal plan contracts and provide excellent customer service in assisting students, parents, university officials and other parties in relation to making decisions related to the purchase of meal plans or finding solutions to problems presented regarding meal plans within UGA FERPA Guidelines and Policy.
• Processing meal plan transactions including but not limited to: enrolling customers, changes/cancellations, custom meal plan transactions, and resolving red flag issues.
• Participate in annual review of Fall, Spring, and Summer meal plan agreements.
• Perform a daily reconciliation of meal plan and charges between the Dining Services Meal Plan System and the Student Accounts System. Identify missing or incorrect transactions and communicate with appropriate parties for resolution.
• Communicate periodic counts to management or as needed throughout the semester.
• Monitor system generated reports for any unusual dining facility accesses daily to determine and address concerns or illegal entry with unit managers.
• Create files for further investigation, request and review video, and flag students accounts if warranted.
• Process faculty / staff meal plans through payroll deduction or faculty portal
• Process withdrawal reports and adjust meal plans accordingly
• Participates in opportunities to increase meal plan awareness and sales such as campus fairs, etc.

Administration Office Management
• Manages the day-to-day dining administrative office and student personnel to include the working the front desk, customer inquiries, Team Dynamix tickets, phone calls, department emails, procurement card statements, vehicle maintenance schedules, staff schedules, payroll, and events/meeting calendars, Bulldog Box enrollment, travel authorities, and uniform distribution.
• Build and maintain relationships with university departments and organizations through collaboration and customer service.
• Ensures all visitors to the Dining Services Administrative office experiences excellent customers service.
• Maintain a state purchasing card for business related purchases.
• Assists in financial responsibilities including access to financial systems and resources and/or use of P-Card or approval of P-Card requests.
• Manage student administration staff and train them in completing office duties such as: answering phones, etc.

• Acts as a departmental liaison with various university departments and organizations
• Support and assist Associate Director of Residential Dining with customer inquiries and on-site coordination related to camp and conference dining request an all meal service agreements
• Coordinates the usage of campus dining facilities with the Associate Director of Residential Dining for visitors, groups, and camps
• Process dining request and group invoices for services provided to camps, conferences, and group dining customers
• Keep and update calendar for group dining reservations
• Manages campus visit and event operations to include all camp and special event campus visitors within dining facilities. Responsible for facilitating, coordinating and fulfillment of all camp, conference, and group dining requests.
• Works with AR for invoicing and tax-exempt verification.
