Job Title: Part-Time Executive Assistant
Location : Athens, GA (Hybrid: 2 days on-site, remainder remote)
Position Type : Part-Time (25 hours per week)
Compensation : $39,000-$45,000
Start Date : Mid-Late June 2024

Position Overview
The Executive Assistant will play a critical role in managing the administrative and operational functions of the organization. This role requires a high degree of professionalism, organizational skill, and the ability to manage multiple complex tasks simultaneously. The ideal candidate will have significant experience in executive support, particularly in a non-profit setting, and will be adept at handling confidential information, managing schedules, and facilitating smooth operations across the organization.
Key Responsibilities
Executive Support :
• Manage the founder’s comprehensive schedule, including travel, training sessions, speaking engagements, and meetings.
• Coordinate and organize the founder’s calendar, ensuring all engagements are planned efficiently and conflicts are resolved promptly.
• Prepare detailed itineraries and logistical plans for the founder’s travel and events.
Program And Operational Support
• Develop and maintain calendars for the social enterprise and peer center, ensuring seamless coordination of activities and resources.
• Work closely with the Director of Programs to align data collection, reporting, and program integration efforts.
• Oversee the onboarding process for new staff members, including coordination with the third-party HR department.
• Handle the payment of invoices, manage financial records, and ensure timely processing of expenses.
Technical And Analytical Skills
• Utilize advanced Excel skills for data management, analysis, and reporting.
• Proficiently use Google Suite (Docs, Sheets, Calendar, Drive) to create, collaborate, and organize documents and schedules.
• Implement and maintain effective data management systems to ensure accuracy and integrity across all platforms.
• Integrate the use of "Better Impact" database for training, onboarding and volunteer management
• Communication and Coordination:
• Serve as a key liaison between the founder and internal/external stakeholders, ensuring clear and effective communication.
• Draft, review, and manage correspondence, reports, and presentations on behalf of the founder.
• Coordinate meetings, prepare agendas, take minutes, and follow up on action items.
• General Administrative Duties:
• Perform a variety of high-level administrative tasks to support the organization’s operations and strategic initiatives.
• Provide support for events and special projects as needed, demonstrating flexibility and adaptability.
Qualifications
• Master of Social Work (MSW) degree preferred.
• Minimum of 5 years of experience as an Executive Assistant or in a similar high-level administrative role, preferably in a non-profit organization.
• Exceptional proficiency in Microsoft Excel and Google Suite.
• Proven ability to manage complex schedules and logistics.
• Strong organizational skills and meticulous attention to detail.
• Excellent written and verbal communication skills.
• Demonstrated ability to handle confidential information with the utmost discretion.
• Experience in financial management, including invoice processing and budget tracking.
• Ability to work independently and collaboratively within a team environment.
• Strong problem-solving skills and the ability to think strategically and creatively.
Working Conditions
• Part-time position, 25 hours per week.
• On-site schedule: Tuesday-Wednesday, 8 AM - 2 PM (12-15 hours).
• Remote work: 10 hours per week, flexible days.
• Flexible schedule to accommodate organizational needs and events.
