This position will be responsible for providing administrative support, booking new repairs, creating/receiving purchase orders, and special projects for the field operations department. This position will be involved in maintaining all necessary documentation for field operations jobs, submitting all necessary job-specific customer documentation, and answering calls on the main field operations line. Responsibilities Manage repair job booking process in ERP system from job creation to close by maintaining booking papers, repair contracts, test forms, and any other necessary documentation for each job. Administer purchase order’s process from PO creation to receipt, including, working with accounts payable on invoice/receipt matching issues. In addition to organizing return/exchange of material to vendors as necessary. Manage divisional customer data by creating new customers along with updating and maintaining existing customer information. Coordinate material shipments from division to elevator mechanic with appropriate documentation. Compile customer reporting for specific jobs and locations based on customer contracts. Answer calls on the Field Operations line and dispatching appropriate personnel while identifying priority and escalating appropriate items to management. Efficient communication with Mechanics, Account Managers and Customers (Internal/External). Other duties and special projects as assigned.
