FY2024 - 2025 Salary Range: $29.37 - $41.12 per hour.

The Program Specialist, Senior in the City Manager's Office is engaged in a variety of projects and tasks and plays a crucial role in providing high-level paraprofessional program support. This includes overseeing assigned programs and projects, handling accounting and procurement transactions, and providing executive-level administrative work for the City Manager's Office.

Competency Rank(s): N/A Essential Functions The following is intended to describe the core work functions of this classification.  While the level and broad nature of essential duties may not change, specific work tasks will vary over time depending on the City’s needs.
• Performs executive-level administrative work for the City Manager, Deputy City Manager, and members of the City Council.
• Provides logistical support for politically sensitive and high-visibility programs and events.
• Coordinates and facilitates the implementation of initiatives and programs initiated by members of the City Council or executive staff.
• Performs budgetary and financial support by assisting the executive team with procurement reconciliation and purchase orders, processing invoices tied to purchase orders, and monitoring and tracking expenditures.
• Serves as a liaison for the City Manager’s Office and Council members, outside partners, and the public to resolve customer service issues/inquiries; ensures follow-up communication and quality assurance.
• Serves as the lead user for specialized databases and software systems; manages cloud-based subscriptions, applications, and databases; coordinates workflow and implements process improvements.
• Assists with developing operating policies and procedures.
• Gathers, compiles, and maintains data.
• Performs basic analysis, such as identifying trends or patterns of needs and proposes solutions.
• Prepares reports, correspondence, and documents using independent research.
• Enters data.
• Processes legal and confidential documents.
• Performs related work as assigned.
KNOWLEDGE

• Coordinating staff and/or facility calendars and scheduling events and meetings.
• Handling politically sensitive and/or high-profile customer service issues/inquiries tactfully and diplomatically.

Minimum Qualifications Education and Experience:
Associate degree and four years of public sector administrative or management support experience or an equivalent combination of directly related education and experience.

Type of Work:
