Nystrom & Associates, Ltd. is an agency consisting of a team of mental health professionals that specialize in psychiatric evaluations, clinical social work, and family therapy. We are committed to helping patients in our community who are experiencing personal, emotional, marriage, family or psychological problems. We are currently seeking a Full-Time Administrative Site Manager at our Mankato location! The Administrative Site Manager insures a smooth, orderly, and efficient operation of all programs and is principally responsible for managing phones, registration, front desk staff, etc. to systemically facilitate cohesion. Patient centered care drives the value of excellent “customer service” and optimal relations with all stakeholders. Core responsibilities include: 1. Supervise Support Staff Specialists Manage work schedule of staff. Manage Support Staff: Front Desk Staff, Lead Support Staff, and Patient Care Coordinator New support staff orientation. Make sure staff are productive and there is a smooth workflow. Run the support staff meetings. Fill in as needed to cover shifts. Interview, hire, fire and give timely job performance reviews. Handle and deal with any support staff performance issues or problems promptly. Keep track of employee time off requests, making sure there is suitable coverage. Check staff swipe clock before submitting them to payroll. 3. Physical office Call janitorial/building service to discuss issues as needed. Keep carpet/walls cleaned and equipment/furniture functional. Inventory and order supplies as needed for the office: Staples, Costco, Print, etc. 4. Patient Care Handle difficult calls/complaints. Maintain excellent quality in customer care. 5. Outpatient (OP) Clinical Staff Conduct OP office orientation for all new clinicians with Quality Assurance Director / Clinic Director Work with Clinical Director & Clinical Supervisor on staff performance issues. Follow up with Outpatient clinicians re: treatment plans, authorizations, billing tasks, etc. 6. Miscellaneous Coordinate on-site lunches Create and distribute memos promptly. Other projects management may assign from time-to-time (i.e. mailings, etc). Maintain confidentiality in regards to our patients, management, and services provided. Coordinate with Quality Assurance Director on yearly audits. Helps coordinate and implement new projects and systems as required. Completes and submits weekly/monthly/yearly reports Create and update all provider schedules for each program. Trouble shoot technical issues for all staff or triage to IT. Job Requirements: Prior experience working in health care facilities preferred Prior supervisory experience required Able to multi-task and handle stress well Positive attitude and ability to be flexible Works well in a constantly evolving and fast paced environment Bachelors degree strongly preferred HOURS: Must be available to work 40 office hours per week, with general daytime hours Monday through Friday.
