Summary: Accurately and efficiently handle incoming calls from providers, lab results/medical records and test results. Ensure providers and staff has records needed to provide excellently patient services. Essential Duties and Responsibilities: Including but not limited to the following Answering the telephone for the back line which is used by providers. Retrieve first thing each morning and throughout the day, voicemails regarding follow up hospital that were left on the doctor’s line and entering each patients information into EHR (1-30+ each morning). Sort incoming faxes from 5 different fax machines and making sure documents get to the appropriate staff throughout the day. Assist providers with looking up, reading, and faxing documents from EHR. Request records from other facilities for providers rounding at the hospital. Audit charts for patients scheduled the next business day, making sure appropriated information has been received and entered. Call referring physicians for new patient appointments if records have not been received. Monitor the work-in physicians schedule and obtain records as needed for patients that are added. Sort mail to appropriate location/physicians boxes. Fax medical records release for any outside records needed. Monitor medical records releases. Once the records are received they are sent to the requesting provider for review. Work with the communication department regarding referrals and incoming records for future appointments. Responsible for receiving pathology and radiology reports when phone in by pathologist or radiologist and sending the information to the provider/nurse. Import and index reports from the hospitals to the patients chart. Scanning information from hospitals and endoscopy centers and putting into the patients chart. Receive manometry and PH studies from hospitals and forward them to the doctor to read. Maintain a log of when received, given to the doctor and returned. When report is received, scan it into the patients chart. Send to billing. Be the backup for all scanning when needed. Cover other clinical medical records staff in their absence. Education: The position requires a high school diploma or equivalent. Knowledge/Skills: Computer background/knowledge Knowledge of medical terminology Knowledge of proper telephone etiquette Must be able to multi task and handle obstacles with outstanding customer service skills. Skill in operating a computer (knowledge of EMR preferred) Excellent communication skills Accuracy and attention to detail Abilities: Must be able to work independently Ability to exercise judgment and make decisions Exhibits enthusiasm and initiative when dealing with providers, staff members and patients. Ability to apply written instructions and standardized work practices Ability to prioritize Ability to handle multiple tasks in a busy environment and see them through to completion Must have sound judgment and problem solving abilities Ability to travel between offices locations Must be reliable Ability to document accurately and concisely Ability to perform while under stress Ability to work as a team player and assist other staff members in work related task.
