Working within the framework of Vista Prairie Communities’ values of Caring, Respect, Collaboration, Innovation and Stewardship, the Business Office Manager is responsible for providing support to management staff as well as residents and their families. KEY ACCOUNTABILITIES Deliver and manage care through the Aspire Lifestyle Model to honor residents and enhance their quality of life. Engage residents using the Aspire 5 pillars of wellness including Social, Physical, Intellectual, Emotional, and Spiritual. Maintains compliance with applicable federal, state, and local regulations, including HIPAA and resident rights and all Vista Prairie Communities policies. Maintain community employee records. Partner with hiring managers to understand their needs and submit job requisitions to the Applicant Tracking System (ATS) for HR approval. Provide onboarding of new hires and ensure completion of compliance requirements. Coordinate and conduct new hire orientations, familiarizing them with their department, the community, and the organization, and introducing benefit information. Train new hires on the Learning Management System (LMS) and all other applicable software applications. Capture all vendor payables in systems on time and maintain vendor relationships to ensure accuracy. Reconcile monthly credit card statements and petty cash. Oversee collection of resident statements and work closely with the Revenue Cycle Manager on private pay and waiver matters. Submit monthly resident LTC claims on the 1st of the month. Maintain resident files per state regulations and company policies. Assist the Executive Director with assignments that are delegated. Customer Service Act as the frontline community representative by welcoming new residents, their families, and guests. Assist with coordinating tours, special programs, and other events to expose the community to targeted referral sources. Assist with internal and external marketing efforts. Ensure new residents are properly introduced to the community, staff, and residents. Promote a positive image of the community throughout the market area. CORE COMPETENCIES Adaptability Attention to Detail Customer Service Initiative Teamwork EDUCATION AND EXPERIENCE High School education or equivalent. Higher Education or previous office management experience is preferred. Experience in HR, AP, and AR preferred KNOWLEDGE AND SKILLS REQUIRED Experienced with Microsoft O365 (Outlook, Teams, OneDrive, PPT, Word, and Excel). Proficient in utilizing various software applications and adept at grasping new technology. Excellent communication and interpersonal skills Excellent time management and organizational skills Ability to adapt to changes in a fast-paced work environment with frequent interruptions, changing priorities, and multiple deadlines. Ability to manage and resolve conflict. Ability to effectively communicate with all levels of the organization. Ability to maintain a high level of confidentiality. SPECIFIC REQUIREMENTS Follows all policies and procedures. Must be a minimum of eighteen (18) years of age. Must be able to relate information concerning residents’ condition. Must possess the ability to make independent decisions when circumstances warrant action. Must receive a "not disqualified" criminal background result from the Department of Human Services and may not be on the OIG exclusions list. Stays up to date on all required training. Understands and adheres to the Vulnerable Adult and Abuse Policy. Is familiar with the Resident’s Bill of Rights and adheres to it.
