Program Coordinator Role: Approximately 40% - Responsible for onboarding pre-qualified new program customers and facilitating/leading all preparation for new program until launch. ▪ Oversee handoff of pre-qualified new customers from Business Development Coordinator into the onboarding process. ▪ Educate new customers that have expressed an interest in becoming a program customer on our onboarding process. ▪ Schedule and lead the onboarding meeting. ▪ Complete New Customer set ups. ▪ Build the scope of each new program. ▪ Oversee web team’s workload by helping with prioritization of actions, lead weekly meetings to routinely update web team on incoming projects and communication of capacity. ▪ Responsible for each new program until it is launched successfully, and the first orders has been placed. Approximately 30% - Ensure existing program customer accounts hit established milestones on an ongoing basis and facilitate the annual maintenance of programs, in support of Account Manager. ▪ Maintain annual program calendar and take initiative to notify Account Manager/lead conversations with cusotmers in preparation for upcoming milestones. ▪ Responsible for documenting all decisions made for future reference. ▪ Funnel all necessary information to web team. Work closely with web team to plan and prioritize their action items, as well as keep them on the designated timeline. ▪ Review internal help tickets. ▪ Maintain documentation of program details on a continual basis to ensure data is updated, accurate and relevant. ▪ Responsible for updating internal departments on upcoming program refreshes, changes and/or updates. ▪ Remain knowledgeable on customer accounts to support with event/bulk orders, planning distributions/fittings, step in during an AM absence, as needed. ▪ Maintain relationships with vendors and work with outside Vendors/Purchasing to provide resources as we receive new customer requests. You may be asked to develop new supply chain opportunities. ▪ Review and track invoicing nuances and recurring fees are being administered correctly. ▪ Ensure annual spend minimums are being met by customers and provide a report to leadership and ▪ Oversee quarterly customer kickback checks are sent on time, as needed. Approximately 15% - Update big-picture, company data to be reviewed by internal team routinely. ▪ Adopt/enhance existing metrics data collection spreadsheet and ensure it is updated regularly. Assist in developing new metrics, as requested. Approximately 10% - Maintain Signatures’ online presence with social media and assist with Customer Events to drive engagement. ▪ Provide a minimum of 1 post weekly to the following social media platforms - LinkedIn, Instagram, Facebook▪ Create monthly newsletters for existing cusotmers.▪ Develop and market a quarterly promotion for program customers.▪ Support in the creation and maintenance of various customer-retention strategies. Approximately 5% - Miscellaneous Tasks ▪ i.e., Assist with deliveries, Customer visits, Potential travel, etc.Core Competencies/Skills Required Core Competencies Must have strong and professional communication skills (email, phone and in person) and be comfortable/confident interacting with many people (both internal and external). Must be a highly motivated, self-starter that is able to take the initiative on your own workload. Must have good multi-tasking and prioritization skills and be able to juggle and organize many projects with many different deadlines on an ongoing basis. Must have strong sense of follow-through and able to work both independently and on a team. Must be proficient in computer skills and comfortable working on a computer. o Regularly required to compose professional emails, utilize Microsoft Outlook, Excel, Word, PowerPoint, access our web platforms, Research/Reference Vendor/Customer sites, Create Marketing Material/Newsletter/Promotions and Navigate our ERP/invoicing system. Must be comfortable with on-the-job training and learning as you go. There is no long-term, formal training provided. Must be able to grasp basic pricing structures, understand calculating margins, analyzing profitability and feel comfortable supporting in pricing decisions on an ongoing basis. Must be willing to travel a few times a year and assist with order deliveries/customer visits 1-2 times/month. General Benefits and Expectations with Signatures Apparel Work in the office Monday – Friday, 8– 5p o As your familiarity/confidence in the role/responsibilities increases, some weekly work from home time may be extended upon further discussion. 1 hour lunch daily First 6 months – 1 week (40 hours) paid vacation. At the start of second 6 months – 1 additional week (40 hours) of paid vacation is given. Starting at the beginning of year 2 – 2 full weeks (80 hours) of paid vacation. Blue Cross Blue Shield Insurance – Company pays 60 %. Coverage includes health and optional dental, vision and life insurance. 11-12 paid holidays/year.
