Summary: We are looking for a Business Office team member that is confident and comfortable with being the initial face of Pro Fabrication for our visitors. Primary areas of responsibility will be activities for Customer Service, Accounting and other Business office activities. This individual will also be responsible for greeting customers, visitors, and employees when they visit our office, answering the phone and assisting or directing the call to who is able to assist the caller. This individual will perform a variety of duties of a routine and recurring nature, including word processing, data entry, account posting, preparation of standard forms in addition to customer service. The successful new team member will confidently be able to independently and according to well-known procedures and practices but will also be capable to perform more complex assignments under close and frequent supervision. Qualifications: Associates degree (A.A) and/or 2+ years of related experience is required for this position. Essential Duties and Responsibilities: · Performs data entry in account system, checks figures, postings, and documents for correct entry, mathematical accuracy, and proper codes. · Calculates, prepares, and issues bills, invoices, account statements and other financial documents according to established procedures. · Maintains accounts payable, comparing outstanding invoices to accounts payable reports. · Prepares and processes checks for mailing. · Maintain petty cash account, issue receipts, and perform month end balance. · Assists in managing delinquent account payments by contacting customers with past due accounts. · Open, sort, and route incoming mail, answer correspondence and prepare outgoing mail. · Composes routine correspondence utilizing current word processing applications. · Organizes and maintains file system and files correspondence and other records. · Using a programmable telephone system, answers/directs calls and take messages in a friendly and professional manner. · Greets visitors in a friendly and professional manner and escorts them to the appropriate area/person. · Makes copies of correspondence and/or other printed materials. · Arranges for equipment maintenance; copy machines, prints, ect. · Provides business office support, customer service, and other office administration personnel. · Manages and communicates to buyer the need for office supplies. · Other duties may be assigned. Technical Skills: · To perform this job successfully, an individual must have a working knowledge of Microsoft Office; Word, Excel, Outlook, and PowerPoint. This individual should also have some account software experience, preferably JobBoss. This individual should also be able to use standard office equipment such as copiers, fax machines, 10 key calculators and a credit card machine.
