Position Summary:
The Billing Representative is responsible for reviewing and processing enrollment and billing documentation received from Internal and External Customers. The role requires one to process client payments on a weekly, monthly, quarterly and annual basis and reconciles payments to the billed Accounts Receivable amounts in the automated system. As needed, the Billing Representative will initiate collection activities to resolve External Customer past due balances and reach a mutual resolution to all billing and enrollment issues prior to next billing cycle. The Billing Representative also provides support to the Sales staff on a daily basis and provides information for groups as requested.
Essential Functions:
• Work is performed in a team setting with multiple priorities and tasks, often working under time constraints.
• Must possess mastery skills of the suite of Microsoft Applications.
• Identifies and inputs subscriber information into claim and billing system.
• Constant contact with group administrators, agents and consultants requiring excellent customer service skills, both written and verbal.
• Provides website assistance to group administrators, brokers, and other external contacts for online billing and eligibility functions.
• Provides timely and accurate resolution of inquiries within 72 hours of receipt while meeting 98% accuracy of all data input.
• Communicates actions taken professionally to the inquirer.
• Build relationships with external customers by preparing accurate, professional, and understandable letters, faxes and telephone communication to external customers.
• Applies payments to Accounts Receivable records in the automated systems.  Analyzes variances and reconcile accounts. Documents actions taken and communicates with the customer as needed.
• Completes thorough validation of weekly and monthly invoices to ensure the most accurate product is delivered to our customers.
• Completes monthly audit of accounts while analyzing in depth for variances while completing reconciliation of accounts.
• Delinquency reconciliation: Strives to collect past due amounts every month from External customers utilizing collection letters and making outbound calls while adequately documenting all efforts and conversations throughout the process.
• Conduct research around all return payments and effectively communicate with groups around resolution.
• Follows documented procedures and relevant laws and guidelines for the Billing & Eligibility Department, which may include:
• Scanning all correspondences (emails, etc.)
• Perform student verifications
• Apply credits from overpayment allocations to future invoices
• Run billing-related reports on a regular cadence (Eligibility, GAR, Extract reports, etc.)
• Diligently verify group contact information on all correspondences to avoid sending PHI or other sensitive data to unauthorized recipients
• Measurable quality tracking to meet KPI’s and corrective action plans to address any errors.
• Works on special projects as required, which may include performing user test case scenarios for system enhancements and other cross-departmental projects.
• Trains and assists team members as needed.
Qualifications/Education/Experience:
• Prior experience in an Accounts Receivable, Billing, Delinquency/Account Reconciliation, or Customer Service roles is preferred.
• High School Diploma Required
• Some college (an Associate’s Degree) is preferred with emphasis on math and accounting courses or experience in related field.   Extensive knowledge of Applications within Microsoft Suite.
• Must possess the ability to multitask while completing daily tasks accurately to meet monthly quality goals.
• Must have excellent verbal and written communication skills with the ability to effectively communicate and interact with all levels of personnel and the general public.
