We are seeking a highly organized and action-oriented Executive Assistant to provide comprehensive support to our executive team in a small office setting. The ideal candidate will be adept at managing multiple priorities, possess excellent communication skills, and demonstrate a high level of discretion and professionalism. Description Key Responsibilities: Administrative Support: Provide administrative support to the executive team including managing calendars, scheduling appointments, coordinating meetings, and making travel arrangements. Communication: Serve as a primary point of contact for internal and external stakeholders, including screening calls, responding to inquiries, and managing correspondence. Documentation and Reporting: Prepare and edit documents, presentations, and reports as needed, ensuring accuracy and adherence to company standards. Project Coordination: Assist in coordinating projects and initiatives by tracking progress, following up on action items, and ensuring deadlines are met. Office Management: Oversee office operations including ordering supplies, maintaining office equipment, and ensuring a clean and organized workspace. Event Coordination: Assist in planning and executing company events, meetings, and conferences. Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times. Special Projects: Support the executive team on special projects and initiatives as assigned. Qualifications: Proven experience as an executive assistant or similar role, preferably in a small office environment. Exceptional organizational and time management skills with the ability to prioritize tasks effectively. Strong written and verbal communication skills, including professional phone etiquette. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Ability to work independently with minimal supervision and as part of a team. High degree of professionalism and integrity with the ability to handle confidential information. Flexibility and adaptability to changing priorities and deadlines. Education: Bachelor's degree preferred, but not required.
