APPLICATION DEADLINE IS FRIDAY, APRIL 26, 2024 Hours: Wednesdays 8am-5pm; 20 hours divided among the other weeks Salary: Minimum $16.10 hourly; dependent on experience POSITION SUMMARY The purpose of this position is to perform the maintenance of the Department records. Processes and maintains all case-related records according to state and federal guidelines. Work involves entering data into computer, verifying information, making copies, keeping various logs, issuing reports, etc., and performing miscellaneous clerical duties. Maintains organization of supplies and court records. This position works under close to general supervision according to set procedures but determines how or when to complete tasks. SPECIFIC DUTIES AND RESPONSIBILITIES Maintains records for the assigned department which involves maintaining various logs, making copies of reports as needed, recording dockets and tickets for appropriate court, administering ledger and filing dockets and tickets, processing tickets and dockets after court, completing NRVC's, transferring dispositions onto correct form, maintaining various complex filing systems, issues subpoenas, etc. Receives, reviews, prepares, and/or submits a variety of reports and documents various lists, criminal history requests, various logs, warrant transfer forms, NRVC's, affidavits, summons/arrest forms, dockets, tickets, ledgers, expunged documents, bonds, and general office correspondence. Assists with answering telephone, routing calls, screening calls, taking messages, assisting callers and in person, greeting visitors, and providing directions. Performs miscellaneous clerical duties such as preparing various types of correspondence including notices of money owed to each defendant with a bench warrant or NRVC. Performs local records checks for government agencies. Enters citation information. Assists with jury trial case file requests. Assists in the Courtroom for criminal/traffic court by manually recording dispositions for the court and the defendants. Organizes and maintains court files. Monitors PTI program. Maintains schedule of record retention including purging of documents and recording on appropriate logs and state forms. Assists with preparing court dockets/paperwork for Court Clerks as needed. Separates court documents and returns to appropriate departments. Refers to policy and procedure manuals, computer manuals, codes, laws, regulations, publications, and reference texts, etc. Operates and utilizes various types of office machinery and equipment such as computer, fax machine, copier, telephone, postage meter, shredder, and various office supplies. Acts as courier to City Hall for daily deposits and paperwork. Acts as courier in taking General Sessions paperwork to each county court weekly. Assists Jury Trial Coordinator when necessary. Assists Court Clerks, Deputy Clerk of Court and Clerk of Court as needed. Maintains organization of supplies. Maintains organization of record’s room. Additional Duties: Performs general administrative/office duties as required, including typing reports and correspondence, entering and retrieving computer data, copying and filing documents, sending and receiving faxes, answering the telephone, etc. Continually stays up to date on all policy, procedure, and/or process changes. Completes all work accurately, safely, and efficiently. Keeps work area clean and safe. Maintains any assigned equipment in safe and good operating condition. Reports to Supervisor any suggested improvements or areas of concern. Ensures professionalism and exceptional customer service during all interactions while performing job representing the City of Greer. Exhibits strong ethical standards; ability to create trust and integrity with co-workers, customers, and community. Adheres to Employee Handbook and other relevant policies and procedures. Maintains regular and sustained attendance. Performs other appropriate duties as assigned. EDUCATION, SKILLS, AND EXPERIENCE - REQUIRED Requires a high school diploma or GED equivalent. One (1) year of clerical or administrative support experience in the law enforcement, criminal justice, or court systems; or an equivalent combination of training and experience. Must possess and maintain a valid state driver’s license with an acceptable driving history.
