About this opportunity: Under the general supervision of the Camp Operations Director, the Guest Services & Office Manager is responsible for handling the overall guest services coordination of the Potomac Division’s Camp Rappahannock to ensure all functions are carried out smoothly and effectively. The incumbent will maintain an up-to-date calendar to eliminate schedule conflicts; meet with prospective rental groups interested in using the facilities; conduct tours and explain rules and fees; ensures all staff are aware of bookings and event needs; serves as host to outside rental groups and liaison to the DYS and Divisional Headquarters during special functions and events. The incumbent is responsible to communicate all needs for food service, meeting space and housing needs to the Facilities, Kitchen and Housekeeping Supervisors.
Key responsibilities:
• Communicates needs for Divisional Events and rental groups to the appropriate camp supervisors to ensure that lodging is ready for guests; that menus are set, and meals times confirmed; and that all applicable program areas and facilities are ready for use.
• Communicates with prospective and current rental groups.  Answer email and phone inquiries related to rental and divisional events.  Provides appropriate paperwork and contracts to rental groups and process contracts in TSAMM in a timely manner
• Performs administrative duties to relieve the Camp Operation Director of administrative detail; answers telephone in a courteous and tactful manner; schedules appointments and services; greets and assists employees and people from outside The Salvation Army
• Maintains an up-to-date rental calendar to ensure there are no conflicts with other rentals or Divisional Events.
• Develops and maintains a filing system of a variety of correspondence, forms, cards, records, reports, and documents; maintains and utilizes the bring-up filing system; purges files to obtain and update information; ensures the files are maintained in an organized and efficient manner.
• Researches, compiles, interprets, and summarizes information for various statistical reports, spreadsheets, surveys, and special projects; researches files, accounts, records, etc. to resolve problems and/or correct documented information; informs appropriate people of discoveries.
What we are looking for in you:
• Bachelor’s degree in business administration, Recreation or related field, and;
• Four years of progressively responsible experience in coordinating events, office management, guest relations, or similar role; or
• any equivalent combination of training and experience which provides the required knowledge, skills, and abilities
Physical Requirements and Working Conditions: Ability to meet attendance requirements. Ability to read and comprehend legal terminology in order to determine compliance with terms of the rental contract. Ability to perform mathematical calculations and to analyze complex computations. Ability to formulate and lead group presentations. Ability to provide on-call coverage. Ability to lead potential users in tours of the Camp facilities. Ability to drive a golf cart. Ability to read, write, and communicate the English language effectively. Ability to communicate clearly both orally and in writing.
Ability to travel to various locations in order to participate in public meetings, conferences, etc. Ability to work under the pressure of deadlines and time constraints .
Work may be performed in an office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like but not limited to the office environment.  Work may require driving a vehicle and working outdoors with exposure to physical discomforts associated with changes in weather such as rain, cold, snow, heat or discomforts associated with noise, dust, dirt, and the like.
