Title: Office Services Assistant
State Role Title: Admin & Office Specialist II
Hiring Range: $13.56 - $15.75 per hour
Pay Band: 2

Recruitment Type: General Public - G
Job Duties
Greets customers and directs customers to appropriate point of contact or resource.
Responds to emails, phone calls, and other forms of communication in a timely and courteous manner.
Writes receipts and processes medication pickups.
Answers program questions, explains policies and procedures.
Schedules patient appontments for services.
Coordinates schedules and meetings as assigned by supervisor.
Compiles and inputs established data into database as directed by supervisor.
Reviews documents, applications and/or forms for completeness.
Completes daily Fiscal/Accounting duties including opening/date stamping mail, entering payments into check log, entering payments into computer system, reconciling deposits, and verifying petty cash.
Makes weekly appointment reminder phone calls.
Registers patients, obtains consent forms, and completes associated forms.
Explains charges, collects payment or verifies patient or third party billing.
Assembles packets of forms according to program protocols.
Maintains general office supplies and supply area.
Pulls and files records for scheduled appointments/meetings.
Prepares/organizes files according to office/VDH procedures.
Reviews files/charts to assure forms are complete and filed in appropriate order.
Assists with shredding of files/records according to office/VDH retention schedules as directed by supervisor.
Minimum Qualifications
Ability to use clear and appropriate communication skills providing information to varying audiences/customers
Experience working in an office setting.
General knowledge of and experience with basic computer processing and data entry skills
Ability to prioritize tasks and organize time efficiently
Additional Considerations
High School Diploma or equivalent preferred.
