As we gear up for the highly anticipated Spring 2024 opening of Athens, Georgia’s first luxury, boutique hotel, Rivet House, we are seeking a dedicated and experienced Administrative Assistant to help our team and ensure the success of this unique hotel. Rivet House will have 50 luxurious guest rooms, an upscale Italian restaurant and bar, a coffee bar and retail shop, and a 2800 square foot health and beauty spa.
THE ROLE
Administrative Assistants are the saving grace of our hotels and restaurants; being extremely organized and an effective communicator will allow the rest of the crew to get their jobs done well. As the Administrative Assistant, you will handle everything from greeting visitors, answering the telephone, gathering data, compiling reports, maintaining files and preparing correspondences. Providing administrative support will allow the other sales associates to focus on revenue generating activities.
What we will ask of you:
• Provide administrative support to General Manager & Director of Sales of the Flatiron; this may include preparing paperwork (forms, reports and schedules) and anticipating needs and supplies for day-to-day operations
• Consistently answer and direct phone calls, responding to all inquiries within 24 hours with ability to organize and schedule meetings and appointments
• Input and organize invoices daily to keep the hotel and kitchen informed of their budget
• Interact with group, catering, and BT customers over the phone in order to quickly qualify potential for business.
• Greet and assist visitors.
• Provide additional administrative assistance as directed.
• Maintain the group files within the sales system for all group bookings at the property level.
Requirements
Requirements for Success:
• At least 1 year of hotels, events, or hospitality required.
• Knowledge of office management systems, procedures, and proficiency in MS Office
• Ability to communicate effectively with managers, employees, and all guests
• A flexible schedule to work days, nights, weekends and holidays
• Moderate standing/walking with occasional stooping, kneeling, pushing, pulling, or lifting
• Provide administrative support to General Manager & Executive Chef; this may include preparing paperwork (forms, reports and schedules) and anticipating needs and supplies for day-to-day operations
• Consistently answer and direct phone calls, responding to all guest inquiries within 24 hours with ability to organize and schedule meetings and appointments
• Input and organize invoices daily to keep the kitchen informed of their budget
• Aid servers, hosts and expos updating menus to ensure accuracy, along with general housekeeping
• Maintain POS system accuracy by updating price changes and menu updates
• Collect new hire information and communicate changes for the Indigo Road Home Office and add new hires to POS system
