Runk & Pratt Senior Living Communities at Smith Mountain Lake is looking for an Administrative Assistant to join their team. REPORTS TO: Administrator/Designee OBJECTIVE: The Administrative Assistant will have excellent customer service with a strong attention to detail. Provides quality administrative services to the Administrator and Business Office Manager in an environment that promotes their rights, dignity, freedom of choice and individuality as illustrated in Essential Functions. Displays a positive attitude and the ability to multi-task in a fast-paced environment. ESSENTIAL FUNCTIONS: Handles sensitive information with the highest degree of integrity and confidentiality Requires strong communication skills, both verbal and written, organizational skills, both analytical and problem solving, and the ability to work with confidential documents Ability to manage multiple tasks and achieve deadlines under pressure Knowledge of operating standard office equipment Creates and maintains forms for all departments Answers phones promptly and distributes messages in a timely manner Maintains electronic and hard copy filing system Maintains Workers’ Comp files and OSHA logs Opens, sorts and distributes incoming correspondence Assists in resolving any administrative problems Prepares and modifies documents including correspondence, reports, drafts, memos, spreadsheets and emails Responsible for keeping inventory of all office supplies and placing orders for replenishment as needed Responsible for ordering medical supplies, as needed Schedules interviews, pre-employment testing and submits background checks Conducts new employee orientation Possesses exceptional customer service skills, over the phone and in person, with our residents, families, visitors, staff and vendors Coordinates and maintains employee files Attends and participates in orientation, training and educational activities and staff meetings Attendance is required during inclement weather Assists with payroll and related functions Assists and coordinates Relias training for all staff Maintains training logs for all employees ensuring all staff meet compliance requirements Maintains employee log ensuring all licenses, TB testing, and FA/CPR training are up to date Proficient with Apple products, Microsoft Word and Excel Must be able to perform duties in accordance with the guidelines mandated by Social Services as the licensing agent of this facility Be of acceptable physical and mental health to carry out assigned duties Must possess mature judgment skills and be able to respond to emergency situations Provides support in any area that may arise that is above and beyond the normal expectations for this position. This includes but is not limited to: Taking the 40-hour Nurse’s Aide Training Course Working with Residents in Direct Care Working with Housekeeping or Laundry Working with Dietary Team during resident meals, transporting residents to meals, serving, feeding and post meal cleanup and returning residents to their rooms. PHYSICAL REQUIREMENTS FOR POSITION: Able to lift a minimum of 25 lbs. without limitations using proper body mechanics Able to stand and walk for extended periods of time Able to sit for extended periods of time Able to reach and have fine hand coordination Able to understand and follow written and oral instructions Able to hear and respond to pages and telephone Able to remain calm in emergency situations and when handling multiple tasks Additional physical requirements may be required if support is needed in other areas MINIMUM QUALIFICATIONS: Graduation from high school or GED Advanced computer knowledge and ability with an aptitude to learn company software Complete annual in-service training as required State Police background check that is free from barrier offenses A current Tuberculosis test on or within 7 days prior to the first day of employment and free from Tuberculosis The ability to meet Physical Requirements for Position The ability to pass a Drug Test Job Types: Full-time, Part-time Pay: $15.00 - $18.00 per hour Schedule: Day shift Monday to Friday Weekends as needed Ability to Relocate: Hardy, VA 24101: Relocate before starting work (Required) Work Location: In person
