Job Type: Full-Time; Non-exempt, Non-Directorial Job Summary: The Move-In Coordinator provides guidance to future residents throughout the occupancy and transitional process, as well as provides oversight and guidance to the resident’s family, contractors, vendors, and other related stakeholders regarding the move-in process. The Move-in Coordinator also supports the Director of Marketing in the planning and implementation of the department’s strategic goals and other related initiatives. Essential Functions: Collaborates with stakeholders to oversee unit refurbishment, cleaning, and inspection processes pre-move-in and post-move-out Guide incoming residents through the transition and occupancy process, addressing their needs and concerns Assists prospective residents planning logistical considerations for their new unit Organizes walkthroughs with future residents to ensure compliance with Kendal at Lexington’s quality standards during turnover Works with prospective residents to discuss costs, design options, and renovation concepts, including standard and upgrade selections Provides detailed cost breakdowns and agreements to prospective residents via the upgrade form Prepares invoices and facilitates the payment of selected upgrades and options Partners with Finance Department to ensure all payments are collected Collaborates with the Project Manager to manage move-in timelines and coordinate design-related activities with vendors and contractors Keeps prospective residents informed about project timelines and progress, allowing them to visit and observe the status of their new unit by appointment Serves as the primary point of contact for prospective residents regarding their move, facilitating introductions with project managers, vendors, and other stakeholders Conducts final walkthroughs with prospective residents to ensure all systems are functioning correctly and that their design preferences have been implemented Coordinates all communication related to occupancy and transition with the marketing team Supports the marketing team with sales and marketing initiatives, including hosting tours, responding to inquiries, and participating in community outreach efforts Conforms with the requirements of the compliance program by understanding and adhering to Kendal’s Compliance Program and Policies as they appear in the Code of Conduct and other compliance policies. Annually acknowledges review of the Code of Conduct by signature and attends corporate compliance education. Adheres to the policies and procedures covering Privacy and Security in compliance with HIPAA regulations. Qualifications include: Associate degree or higher preferred Prior experience in customer service, project management, or a related field Ability to work effectively with diverse groups of stakeholders Knowledge of residential construction or interior design concepts is advantageous Proficiency in Microsoft Office Suite and project management software Excellent communication, organizational, and leadership skills.
