Position Snapshot: The Purchasing Administrator works with the office and plant management teams and serves a critical role in ordering material, supplies, and equipment for custom and stock precast concrete structures. This position oversees the organization's purchasing function and manages inventory of ordered items. A wide degree of creativity and latitude is given to the purchasing agent to obtain the best price, but also maintain working relationships with our suppliers, who are also viewed as our customers. Essential Functions and Responsibilities: Responsible for ordering, receiving, and tracking all raw materials and supplies such as reinforcing steel, castings, gaskets, trash racks, etc. Responsible for maintaining a purchase order system with detail and accuracy. Responsible for gathering all certs for Buy America Documents, scanning to shared drive, and getting copies to QC. Code all delivery tickets when received for payables and help code invoices for payment. Call/email for invoices on old delivery tickets and able to scan/copy/mail to accounting for payment. Cross trained to input production for plant. Responsible for SDS updates and getting books to plants once complete to continue to make sure we are in compliance. Perform a monthly raw materials inventory and resalable materials on a monthly basis or as required by the accounting department. Oversee quarterly inventories and financial reporting through Titan. Ability to coordinate lead times on ordered items to maintain inventory levels as required. Enter all Upgrades/Downgrades inventory in Titan. Maintain a close working relationship with all suppliers. Cross trained to adjust time and approve payroll if needed. Generate count sheets for counting inventory. Reconcile inventory and input. Enter all freight for Salem that tracks how much it costs per load for management. Knowledge, Skills, and Abilities: Excellent attendance and ability to work independently. Ability to multitask and work under deadlines and pressure. Exceptional organizational skills. Excellent verbal and written communication. Strong interpersonal skills with both internal and external customers. Extensive knowledge of purchasing & contract techniques. Knowledge of precast concrete products and materials. Ability to use computer (desktop or laptop) and office equipment (copier, fax, scanner) to perform work tasks. Qualifications: High school diploma or GED equivalent required. Bachelor’s degree in a relevant field or equivalent industry experience is preferred. Requirements: Must reside in the continental U.S. within the assigned region. No relocation assistance is provided. Must have a valid driving license. Must be authorized to work in the U.S. for any employer. Typical Schedule: Work is generally performed Monday-Friday, 40+ hours per week depending on workload and production demands. Typical Physical Demands: Physical agility and may require any or all of the following: standing, sitting, walking, climbing, reaching, bending/stooping, lifting (50lbs. max), pushing/pulling (50lbs. max). Working Conditions: Office work will be performed in clean, climate-controlled areas, with fluorescent lighting. Will frequently enter the production environment, with ambient weather/air conditions, loud noise, dangerous equipment, and variable lighting. Personal Protective Equipment (PPE) is required in all production and loading areas. Compensation: Based on skills, knowledge, and experience.
