JOB TITLE:  SCHOOL SECRETARY II – Middle School Bookkeeper
JOB DESCRIPTION:
Performs a variety of general bookkeeping, record keeping, accounting functions, administrative and office clerical duties; and computes, classifies, and records numerical data to keep sets of financial records complete.
QUALIFICATIONS:
• High school diploma or general education degree (GED) required
• Associate’s degree in Business Administration preferred.
• Three years of varied and increasingly responsible clerical or secretarial experience.
• Strong verbal and written communication skills.
• High degree of attention to detail.
• Proficient computer skills, including Microsoft Office, excel, google docs, etc.
• Must meet the requirements of a criminal record check as specified by Kentucky state law.
• Must meet health requirements as specified in district personnel policy
KNOWLEDGE OF:
• School office terminology, practices and procedures.
• Modern office practices, procedures and equipment.
• Financial and statistical record-keeping techniques.
• Receptionist and telephone techniques and etiquette.
• Letter and report writing skills.
• Health and safety regulations.

ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES:
• Organize, coordinate, schedule and perform a wide variety of clerical and other office functions and activities related to the administration of diverse programs and operations for a high school; prioritize and schedule duties and assignments to assure efficiency and effectiveness and meet established timelines.
• Perform office, secretarial and clerical work to assist the Principal with a variety of administrative tasks.
• Perform duties effectively with many demands on time and with constant interruptions
• Maintain financial records related to school accounting and budget, accounts receivable, and accounts payable in accordance with Redbook standards and coordinate reporting with Central Office.
• Organize budget and financial material to maintain accurate fiscal records; record expenditures and transfer funds as appropriate; assist in the preparation of annual budgets and other annual reports in accordance with related regulations.
• Verify, balance, adjust and assure the accuracy of financial records.
• Audit and determine appropriate accounting for invoices and receipts for compliance with Redbook standards.
• Collect receipts, record and deposit receipts; post to appropriate accounts and reconcile cash.
• Collect and account for money collected in conjunction with student body funds, lost or damaged books and other school activities; account for and maintain the cash fund as assigned; prepare student body financial reports.
• Prepare and generate a variety of financial and statistical reports, lists and summaries.
• Initiate office and general school supply purchase orders; receive and distribute supplies and office materials; maintain materials and equipment inventory; maintain department purchase orders.
• Compile departmental reports.
• Meet schedules and timelines.
• Learn, interpret, apply and explain school and District policies, rules and objectives.
• Add, subtract, multiply and divide quickly and accurately.
• Demonstrate prompt and regular attendance
• Interact with vendors and district personnel to research discrepancies, correct errors, resolve problems and assist with preparation and maintenance of records and reports.
• Provide information regarding accounting policies, procedures and practices to district employees, vendors and others; interpret, apply and explain district policies and regulations as needed.
• Provide information over the phone or in personal contacts with parents, students or school personnel as appropriate; route calls to appropriate personnel as necessary; coordinate and maintain the school calendar of events.
• Train and provide work direction to clerical personnel, students and others as assigned.
• Process the certified and classified payroll including the completion and submission of time sheets to the supervisor and District Office; maintain accurate records with respect to personnel; assist substitute teachers and classified personnel by providing them with keys and materials; secure period substitutes and prepare substitute time sheets.
• Perform a wide variety of problem-solving tasks in support of certified, classified and management personnel.
• Operate a variety of office machines such as copiers, calculator and computer equipment.
• Reports to work promptly and on a regular basis.
• Perform other duties as assigned.
WORK ENVIRONMENT:
Indoor, environmentally controlled.  Typical office environment including but not limited to telephones, personal interruptions, background noises.  Requires working with or near the public, parents, and children and will be subject to sounds, scents, and other related environmental factors.  This position will require dealing with conflict and requires use of sound judgement.

Performance of this job will be evaluated in accordance with provisions of the Board's policy on Classified Evaluation Plan.  The evaluation will be conducted by the principal.
