We’re seeking a whip smart Executive Assistant to serve as an indispensable, business support partner to our Senior Vice President. This is a fantastic opportunity to establish working relationships with our entire leadership team and to directly impact the overall efficiency of our operations. As an Executive Administrative Assistant with Foot Levelers, your role is multi-faceted and highly impactful. We need an energetic, proactive, diligent achiever who has his/her eye on the big picture and understands the synergies within our departments.
Our Executive Admin must be tactful, discreet, sharp, highly organized, and zealously meticulous. If you’re ready to stretch beyond your professional comfort zone and learn an entirely new industry, read on to learn more.
Key Responsibilities Include:
• Provide proactive administrative support, to include meeting, travel, and event coordination, to our Senior Vice President. You ensure meetings begin on time, materials are prepped in advance, travel is optimized, and you enable remote decision making while keeping multiple projects on track.
• Coordinate day to day operations effectively in a fast-paced work environment, ensuring you serve as a filter for professional distractions, thusly enabling our SVP to stay focused on organizational strategies and execution. In short, your actions enable productivity at the highest level
• Prioritize conflicting priorities and handle all professional matters expeditiously and proactively
• Prepare and assist with the preparation of various business documents to include internal company and external client reports
• Research and conduct preliminary data analysis to prepare pertinent documents for review and presentation by SVP
• Manage the SVP’s calendar: responds to and sends out meeting requests, ensuring schedules are up to date and accurate. Resolves meeting conflicts and handles reschedules to accommodate more urgent requests.
Our ideal Executive Administrative Assistant checks these boxes:
• At least three+ years of experience in a relevant role, supporting a senior executive leader (on site).
• Demonstrated track record of exceeding expectations - your commitment to quality work, your diligence, and your big-picture thinking are evident in all you do. You’re deadline driven, articulate, and hyper organized.
• Above average competency with software and business systems (to include MS Office suite and ERP experience)
• Exceptional communication skills, both written and oral. You're engaging, responsive, emotionally intelligent and anticipatory in your communication efforts. Always.
• Intellectually curious - you are eager to understand the business, the departments, the people, the opportunities. You’re a utility player with a keen interest in always learning more, doing more.
