Position Summary
This incumbent provides administrative and project support to the office of the Sr. Vice President for Academic Affairs and Provost. This individual will serve as the principle point of contact and liaison with internal and external constituencies with regard to scheduling meetings and managing the calendar for the Provost. This position reports to the Chief of Staff to the Provost and will operate as an integral member of the staff support team. The Executive Assistant to the Provost will proactively participate in moving the office forward through efficient and effective service delivery methods and procedures in the Provost's Office and campus-wide. This individual routinely deals with issues of a highly confidential nature and will use discretion effectively.
This position involves use of a P- CARD .

Duties/Responsibilities
• Serves as the chief point of contact for calendar management and scheduling meetings for the Senior Vice President for Academic Affairs and Provost.
• Ensure all of the Provost's calendar appointments are accurate and updated with appropriate information and primary responsibility for the proactive management of the Provost's calendar.
• This position helps make decisions and suggestions about the Provost's weekly meeting and manages all meeting logistics.

• Manages all travel for the Provost. This involves significant attention to detail and management of complex domestic and international travel, registration for major conferences and meetings, and frequent communication directly with the Provost regarding preferences, changes, etc.

• Supports event planning for the Office of the Provost. This entails coordination of scheduling, securing vendors, creating and sending invitations, tracking RSVPs, communication with honorees and attendees, and executing the final event.

• Works with the Office of Academic Fiscal Affairs to complete purchases and reimbursements as needed. This role manages subscriptions and other services utilized by the Provost's Office and orders general office supplies and specific supply needs for the Provost.

• Provides general administrative support for the Provost's Office. Greet visitors, answer phone calls, handle incoming physical and electronic mail, responds directly to routine requests, refers items to the Chief of Staff or Assistant to the Provost when necessary, proofreads and transmits outgoing documents and mail.
• Handles duplicating, fax, email communications, schedules appointments. Receives inquiries for information and assistance from students, faculty, administration, other staff, and the general public in person, via email, and by phone and communicates information pertaining to university procedures, policies, regulations, and program and communicates these requests to the Chief of Staff or Assistant to the Provost.
