Roanoke County Public Schools is seeking applications from individuals interested in an Administrative Assistant position in the School Counseling Department at Cave Spring Middle School. This is a full-time position, 210 day contract, 8 hours per day eligible for benefits and is on the RCPS Pay Plan Grade 112.
Position Description/Job Summary :
The Administrative Assistant is responsible for performing a variety of general office clerical duties and providing assistance with the effective and efficient operations of the school counseling department. Responsible for work in the registration and transfer of students, and in preparation and maintenance of student records. Performs technical work in the school's student information system (SYNERGY) which may include grades, transcripts, etc. and preparing and maintaining complex and confidential files.
Responsibilities/Duties/Functions/Tasks :
• Serves as secretary to the School Counseling Coordinator and the school counseling staff; provides information and orders supplies for the department; prepares correspondences and related matters; prepares and maintains files and records; assists teachers, parents and students
• Maintains and respects confidentiality of student and school personnel information
• Receives and greets persons or groups calling on school counseling department staff; answers telephones, provides information, takes and dispatches messages as needed
• Performs enrollment and withdrawal activities (e.g. interpreting transcripts, updating automated student information system, etc.) for the purpose of ensuring compliance with financial, legal, state or federal requirements
• Prepares and sends transcripts
• Prepares cumulative record labels, grades, credits, and end of year reports
• Maintains a variety of manual and electronic student records for the purpose of providing up-to-date reference and complying with regulatory requirements and established guidelines
• Responds to questions from a variety of internal and external sources (e.g. staff, other educational institutions, the public, parents and/or students, etc.) for the purpose of providing information and/or direction
• Demonstrates courteous, professional telephone procedures
• Creates a pleasant and professional atmosphere
• Practices confidentiality of work-related matters
• Completes assigned tasks on time and accurately
• Exercises positive, correct and appropriate conduct with students, staff, parents and community at all times
• Demonstrates initiative and good judgment
• Remains current in skills necessary for assignments, including technology
• Strong computer skills, with proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook)
• Possesses thorough knowledge of staff responsibilities within the work site
• Displays knowledge of proper use of equipment
• Demonstrates punctuality and regular attendance
• Communicates effectively, using good grammar
• Performs the essential functions of the job as outlined by the supervisor or principal
• Follows established school board policies and regulations
• Performs other responsibilities as assigned
Education and Experience :
• High School Diploma and college level courses in office management, secretarial science, or related field with extensive experience in secretarial work.
• Experience with Synergy, the student database for the school system, preferred
Minimum Job Requirements/Qualifications :
Thorough knowledge of standard office practices, procedures, equipment, and office assistance techniques; thorough knowledge of school division functions, organization and policies; thorough knowledge of business English and spelling; ability to establish and maintain effective working relationships with school officials, the general public and associates; ability to work under pressure; ability to organize and perform work independently; ability to lay out and type complex forms and tables; ability to make difficult arithmetic calculations; ability to type, take and transcribe dictation at a reasonable rate of speed; ability to operate personal computer and other standard office equipment; ability to supervise other clerical staff.
