We are looking for a full-time Office Support Assistant to help our various departments and our Front Office staff with administrative and organizational functions in the day-to-day operation of our office. Our work is focused on treating problem water and ensuring safe water in homes. Your goal is to provide great customer service to our customers and potential customers.
Responsibilities will include, but are not limited to:
• Provide excellent customer service while providing general support to customers.
• Back up the Front Office assisting with daily office needs including filing, greeting customers, etc.
• Data entry utilizing proprietary software, Excel, and Word
• Provide administrative support to the managers, commercial service department and water specialists.
• Communicate with staff and customers as required.
• Schedule and confirm appointments for clients, customers, or supervisors as needed.
• Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revisions.
• Discuss account status or activity with customers or appropriate personnel.
• Key commercial work as specified in the Commercial SOP.
• Help with delinquent accounts
Preferred skills:
• Previous customer service experience of at least 2 years
• Strong verbal and written communication skills with attention to detail and accuracy in all work.
• A professional and courteous telephone manner
• Comfortable speaking on the phone, texting or emailing
• Proficient w/Microsoft outlook, excel and word
• Exceptional planning, problem solving, time management and organizational skills.
• Ability to operate standard office equipment
• Able to prioritize work and adhere to deadlines while being able to identify and handle the urgency of each task.
• Patience and endurance to sit/stand behind a desk all day.
• Must be able to work independently with minimal instruction and oversight, as well as collaborate effectively and work as a team player.
