Position Available: Jefferson Elementary School - Lead Secretary - Full time, year round position Location: Jefferson Elemtary School, 318 South Payne Street, New Ulm MN Job Description/Duties: The administrative assistant plays a vital role in supporting both the elementary school principal and front office staff in the efficient operation of the school. This position requires strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. The administrative assistant will serve as a liaison between the principal's office and the front office, ensuring effective communication and coordination of administrative functions. Key Responsibilities: Administrative Support for the Principal: Manage the principal's appointments, and coordinate meetings. Assist in preparing and distributing correspondence, reports, and presentations. Maintain confidential files and records related to student discipline, personnel matters, and other sensitive information. Conduct research, gather data, and compile information as requested by the principal. Handle incoming inquiries, prioritize requests, and follow up on action items. Front Office Support: Serve as a point of contact for visitors, parents, and staff entering the school office. Answer phone calls, respond to inquiries, and direct messages to appropriate staff members. Assist with student enrollment, registration, and attendance procedures. Manage office supplies inventory, order supplies, and maintain office equipment. Provide general clerical support, including filing, copying, and organizing documents. Communication and Coordination: Facilitate communication between the principal's office and front office staff, ensuring timely dissemination of information. Coordinate with teachers, staff, and parents to schedule appointments, meetings, and events. Assist in preparing and distributing school-wide announcements, newsletters, and other communications. Collaborate with other administrative assistants and school personnel to coordinate activities and events. Prepare and send the monthly newsletter Data Management: Maintain accurate records and databases related to student information, attendance, and discipline. Enter and update student data in the school's information management system. Generate reports and assist in analyzing data for administrative purposes. Position Qualifications: High school diploma or equivalent (Associate's degree preferred). Previous experience in an administrative support role, preferably in an educational setting. Proficiency in Microsoft Office applications (Word, Excel, Outlook). Excellent organizational skills and attention to detail. Strong interpersonal and communication skills. Ability to multitask and prioritize tasks effectively in a fast-paced environment. Knowledge of office procedures, equipment, and systems.
