Job Description: The Office Manager also refered to Development Operations Manager is responsible for administrative support, office and building management, and special projects to support the fundraising goals for University Development working with the Executive Director of University Development and the Director of Campaign Strategy and Management. Essential Functions: Provide administrative support for the Executive Director of University Development and the Director of Campaign Strategy and Management. This work requires a high level of discretion and confidentiality. Manage calendar of appointments; schedule donor visits and appointments; compile documents for donor meetings and gift proposals; complete meeting follow-up including contact reports and donor correspondence. Responsible for completing expense reports; composing and preparing correspondence; and arranging complex and detailed travel plans including travel itineraries and meeting agendas. Responsible for the generation and customization of reports to track department projects and goals. Responsible for proactive data reporting and analysis for department-wide initiatives including drafting and editing correspondence, reports, presentations, and other documents. Often these projects involve research, data analysis and coordination with other team members and colleagues in other departments. Working under the direction of the Director of Campaign Strategy and Management and in collaboration with the Office of Special Events and the Office of the Vice President for University Advancement, coordinate campaign-related receptions and dinners, stewardship events, and on- and off-campus volunteer meetings including catering, transportation, and accommodations; coordinate logistics including RSVPS and guest registration, seating arrangements, nametags, and other attendee needs as required. Submit appropriate forms with Advancement Operations to request research, event bios, and donor profiles for development travel for the Executive Director of Development and as appropriate for the Vice President for University Advancement and the President. Submit request forms for campaign events under the director of the Director of Campaign Strategy and Management. Draft and edit correspondence, reports, and presentations including the creation of slide decks and visual presentations supporting the work of development and the campaign. Support as needed, across other areas of development, including key events such as reunion meetings, parents leadership council activities, volunteer trainings, and other development events. Staff major on-campus events paying careful attention to donor experience and providing proactive customer service. Coordinate department-wide meetings including scheduling, booking space, and prepping agendas. Maintain development portion of shared calendars with other departments. Oversee all development budgets to ensure expenses are properly documented and budgets are managed and maintained. Prepare regular reports and projections on budget for review with the Executive Director. Maintain inventory of office supplies and printed materials. Work with Communications, the Copy Center and other vendors to update, order, and restock materials and supplies as needed. Coordinate all work orders, building improvements, and maintenance for the Development Building. Work collaboratively with internal and external stakeholders to achieve the goals of the department and the university. Work Schedule: Monday - Friday, 8:30 am - 4:30 pm, some night and weekend work required. Minimum Qualifications: A high school diploma or equivalent is required (Associate’s Degree preferred) A minimum of four (4) years of progressive experience in a clerical, administrative or office management role or a combination of experience and education for which similar skills would be acquired. Must be proficient in Microsoft Office Suite. Manage conflicting needs while handling matters expeditiously and proactively often under deadline pressures. Ability to maintain confidentiality. Experience working in alumni affairs, development, or other advancement functions is desirable. Experience working with database systems and CRM software such as Raisers’ Edge or Slate or an equivalent program. Excellent written and verbal communication skills and strong organizational capabilities.
