The Administrative Assistant is responsible for greeting customers, visitors and guests; determining nature of business and directing visitors to the appropriate location; operating the switchboard and maintaining telephone listing information, assisting Sales staff with clerical and administrative support duties, managing the office calendar, mail, faxes and ordering office supplies.
Supervisory Responsibilities:
This job has no supervisory responsibilities.
Essential Duties/Responsibilities:
• Greet customers, visitors, and guests in a courteous and professional manner. Determine purpose of visit and direct individual to appropriate location.
• Answer, screen, and direct telephone callers to appropriate personnel.
• Maintain and organized and professional appearance in reception area at all times. Discard obsolete materials, as appropriate.
• Provide training to employees providing front desk relief.
• Maintain telephone listing; ensure names, email address, and other vital contact information is accurate and current.
• Notify supervisor of issues/problems that arise within reception area.
• Open and sort daily mail; scan invoices to Accounts Payable
• Distribute UPS/Fed-Ex/USPS packages to appropriate department
• Responsible for the purchase of online supplies for office staff
• Maintain calendars for Corporate conference rooms, Corporate calendar, PTO/ birthday/ anniversary calendars.
• Schedule lunches for office events and/or meetings.
• Responsible for preparation and production of the yearly newsletter.
• Provide administrative support for the sales department and staff by assisting with preparation and distribution of quotes, data entry of sales orders as needed.
• Provide clerical support to other departments as needed.
• Perform other related duties as assigned.

• Excellent organizational skills with ability to coordinate tasks with competing demands.
• Must be able to work independently and exercise good judgment.
• Must be able to handle high volume calls and maintain professional demeanor.
• Must be able to work additional hours as needed to meet customer demands.
• Must be able to maintain confidentiality.
• Promote a positive customer experience.
Education and Experience:
• High school diploma or equivalent.
• Previous experience in an office environment preferred.
