Position Purpose
To oversee the operations of CCBC HQ, setting employees up for success and infusing the space with a spirit of professionalism.
Summary Of Responsibilities
The Office Manager and Executive Assistant will be responsible for managing the daily operations of our office, while also providing comprehensive executive support to two senior leaders. The Office Manager and Executive Assistant will play a vital role in ensuring smooth and efficient business operations, fostering effective communication, and maintaining a professional and productive work environment.
Duties And Responsibilities
• Office Management:
• Oversee day-to-day office operations, including maintaining supplies, equipment, and facilities.
• Manage office budgets, expenses, and vendor relationships.
• Coordinate and schedule meetings, appointments, and events.
• Ensure proper functioning of office systems, such as telecommunications and IT infrastructure.
• Implement and maintain office policies and procedures to promote efficiency and compliance.
• Executive Support:
• Act as a trusted liaison and primary point of contact for the two senior leaders.
• Manage and maintain executives' schedules, calendars, and travel arrangements.
• Prepare and coordinate materials, reports, and presentations for meetings.
• Conduct research and gather information to support decision-making processes.
• Assist in the preparation and review of correspondence, emails, and other documents.
• Handle sensitive and confidential information with discretion.
• Communication and Coordination:
• Facilitate effective communication between the senior leaders and internal/external stakeholders.
• Coordinate and prioritize tasks, deadlines, and deliverables across multiple projects.
• Collaborate with other teams and departments to streamline workflows and improve processes.
• Serve as a point of contact for inquiries and requests, ensuring timely responses.
• Relationship Management:
• Cultivate positive relationships with clients, partners, and stakeholders on behalf of the senior leaders.
• Coordinate and host visitors, ensuring a professional and welcoming environment.
• Represent the senior leaders at meetings, conferences, and networking events as required.
Requirements
Qualifications:
• Bachelor's degree in business administration, management, or a related field (preferred).
• Proven experience as an office manager, executive assistant, or similar role.
• Strong organizational and time-management skills with the ability to multitask and prioritize effectively.
• Excellent written and verbal communication skills.
• Proficient in office software, including MS Office Suite.
• Attention to detail and problem-solving abilities.
• Discretion and confidentiality when handling sensitive information.
• Ability to work independently, take initiative, and make sound judgments.
• Flexibility to adapt to changing priorities and deadlines.
• Professional demeanor and interpersonal skills.
