Job Description:
Provides high-level administrative and logistical support for Center for International Education programming. Manages operations and events in the Ruscio Center for Global Learning, and is the primary resource for scheduling, information requests, and building oversight.

Essential Functions
• Provides administrative support for the Director of International Education.  Maintains files and records, tracks budgets, codes credit card accounts, processes disbursements and purchase orders, assists with expense reports, orders supplies.
• Manages Center for International Education (“CIE”) events and meetings.
• Assists with administration of CIE summer grant programs; collaborates with staff and IT to maintain and update grant application site; advises students regarding application procedures and requirements.
• Assists with organizing International Student Orientation and other international student events, programs, and activities.
• Collaborates with Office of Communications and Public Affairs to manage the design and content of the CIE website; coordinates production of social channel material; designs and produces publicity materials for websites, Ruscio Center for Global Learning (RCGL) atrium Planar monitor and rise monitors.
• Coordinates room reservations in RCGL through 25 Live.
• Manages RCGL programs, workshops, conferences and group meetings. Works with University Catering, outside vendors and Facilities Management to coordinate event setup/take down and refreshments or food when necessary.
• Works with Facilities Management and RCGL departments to identify and submit work orders for building maintenance needs and improvements; coordinates with Instructional Technology to ensure regular checkup of RCGL classrooms.
• Provides general administrative support for CIE Global Visiting Faculty.
• Manages travel and housing for CIE visiting faculty and speakers.
• Arranges housing placements for World Language Teaching Assistants. Coordinates with Facilities Management to schedule and oversee annual upkeep, maintenance, and restocking of supplies for both WLTA residences.
• Assists with planning for the Summer Virginia Governor’s Academy program.
• Monitors and replenishes inventory of supplies for CIE and RCGL photocopiers.
• Oversees and schedules CIE work-study students.
• Other related duties as assigned.
Work Schedule: M-F, 8:30 am – 4:30 pm; occasional nights required.
Minimum Qualifications: A high school diploma is required; associate or bachelor's degree is preferred. Must have three years prior experience in an equivalent position, preferably within an academic setting. Applicant should possess skills utilizing word-processing programs, and spreadsheets, and be proficient in Microsoft Office Suite. Experience with design, layout, and editing software is ideal (Photoshop, Canva, Illustrator, InDesign, Final Cut Pro, etc.) Experience with data collection tools, forms, surveys, and Terra Dotta application management systems is a plus. Must be able to learn new computer skills and software as needed. The applicant must have excellent proofreading, grammar, and spelling skills. Must be detail-oriented, have the ability to multi-task, and possess strong organizational skills. Must be a self-starter and have the ability to work independently, as well as to communicate and interact effectively in a professional, confidential, and courteous manner with faculty, staff, and students. Demonstrated ability to handle confidential and sensitive information. Should be able to work with frequent interruptions and manage multiple projects, priorities, and deadlines. A consistent record of attendance and punctuality is necessary.
