Job Description:
Reporting to the Executive Director of Alumni and Career Engagement, the Director of Alumni Chapter Programs oversees the university’s alumni chapters nationwide and abroad, one of the cornerstones of alumni engagement for W&L. The Director provides creative and structural vision for chapter programming, in addition to operational oversight and supervision of the Assistant Director. Provides guidance and expertise in overall chapter management and operations in accordance with Alumni Engagement’s standards and guidelines. Facilitates chapter visits by university leadership and staff, including administrators, faculty and University Advancement staff. The Director of Alumni Chapter Programs travels extensively in support of chapter activities, governance, and stewardship.

Essential Functions:

Builds strategic relationships with alumni chapter leaders, providing guidance and expertise to ensure strong chapter management, operations and engagement. Manages a portfolio of large and/or strategically key chapters including Atlanta, New York, Richmond, and Washington, D.C.

Provides programmatic strategy and oversight for approximately 70 domestic and one international alumni chapters, lead by over 600 volunteers. Strategic oversight for execution of approximately 200+ local events, programs and activities annually including conceptualization, planning, budgeting, promotion and evaluation.

Travels to support chapter volunteers, chapter activities, and as serve as a university spokesperson. Set specific annual goals for chapters, provide direction for local leader’s success, and evaluate progress. Facilitate chapter meetings as a strategic initiative when needed.

Provides strategic oversight of the chapter dues program, including semi-annual promotion, setting dues levels, and collection and disbursement of funds. Analyzes, sets and enforces budgets and cost parameters for chapter events.

Supervises the Assistant Director of Alumni Chapter Programs in their planning, promotion, and event execution responsibilities. Oversee the Assistant Director’s coordination of the annual Chapter Leadership Conference.

Partners with the Alumni and Career Services marketing team and the Office of Communications and Public Affairs to create effective communications strategies to engage alumni chapter members.

Collaborates with other Alumni and Career Services directors on co-engagement opportunities, incorporating career development, lifelong learning and affinity elements into chapter programming. Supports Alumni Board initiatives through chapter activities including career and networking and diversity and inclusion initiatives.

Fosters relationships within the W&L community (alumni, students, faculty, staff, parents, friends, and donors) on and off campus. Collaborates with academic programs on engagement opportunities with alumni chapters, including: Williams School, Theater, Dance, Choral, Shepherd Program, and Athletics. Coordinates guest faculty and administrator speakers from campus to participate in chapter events throughout the year.

Uses data to analyze chapter health and engagement and develops strategy for overall alumni chapter program structure. Oversees dormant chapter process to include review, communications, and recommendations.

Staffs major on-campus reunions and other events. Pays careful attention to the alumni experience, resolving issues and concerns as they arise.

Minimum Qualifications:

Bachelor's Degree and significant work experience related to advancement, program development, communications, or related field.

Prior work experience in academic administration or appropriate industry experience preferred.

Advanced communication and interpersonal skills with a demonstrated ability to work collaboratively and courteously with colleagues throughout the University, alumni, other constituents and the public.

A collaborative and flexible approach to establishing strong professional relationships, internally and externally is essential.

Proficient in Email, Box, Excel, Word, Zoom, and budget planning.

Comfortable and experienced in external customer relations work.

Out-of-town travel and evening work required. Occasional weekend work required.
