Description The City of Roanoke is seeking a Project Coordinator to serve in the Facilities division of the General Services Department. This position is Responsible for implementation and compliance of PM (preventive maintenance) program and coordinating projects between in-house Facilities departments, technical city departments (Engineering, Planning, Purchasing, etc.) and user departments (Parks & Recreat ion, Fire-EMS, Libraries, etc.) . Develops and maintains databases to track project cost information, status and other information required by department. Assists with preparation of estimates and bid/RFP documents and procurement of major material. Obtains and tracks building permits. Assists with annual budget preparation. Requires a minimum of 2 years’ experience in MS Office applications, and work order systems. Must possess a valid driver's permit issued by the state of Virginia. FMP (Facilities Management Professional) certificate through IFMA preferred.

Examples of Duties • Primarily responsible for PM (preventive maintenance) program implementation and compliance
• Develops and maintains databases to track project cost information, status and other information required by department
• Assists with preparation of estimates and bid/RFP documents and procurement of major material (Business Coordinator oversight)
• Obtains and tracks building permits and closeouts
• Assists with annual budget preparation, capital expenditures and building interior replacement/repair expenditures
• Composes, updates and reviews project worksheets and slating lists
• Must perform work order audits bi-weekly using Microsoft Excel
• Will be trained in both the work order and preventive maintenance programs
• Will be the Safety Compliance Officer for Facilities Management Department
• Performs administrative work planning, organizing, evaluating, coordinating and supervising the business flow of skilled and semi-skilled maintenance workers in the maintenance and repair of City owned facilities.
• Assist the Manager in schedule alterations, planned repairs and major maintenance of buildings. ??
• Establishes goals and objectives, sets priorities, develops and implements schedules and operating procedures
• Works with the Facilities Business Coordinator on outsourced maintenance & contracted projects
• Performs quality inspections, tracks work orders, and conducts customer satisfaction surveys
• Assists in the yearly review of the division's business plan and recommends changes
• Develops specifications for purchase of materials and equipment or for contract services?
• Evaluates bids and recommends bid awards for contracts to contractors, vendors and service providers; monitors and approves performance of same
• Ensures that OSHA, state, federal, risk management and usual/customary safety guidelines are strictly adhered to
• Assists in supervising contractual service performed on equipment and facilities?(Business Coordinator oversight)
• Checks projects for progress and for conformance to work plans and orders
• Advises in the solution of difficult work problems encountered?
• Keeps time, materials and equipment records and compiles detailed reports
• Plans and prepares estimates of maintenance costs on routine and construction jobs (done at Supervisor level)
• Prepares specifications, hold selected job site showings and inspect work
• Accountable for the management control system for the ordering of supplies and materials?
• Knowledge of pertinent rules and regulations, guidelines, safety orders, departmental operating procedures and safety regulations sufficient to insure that work is performed in compliance with applicable law.?
• Develops and maintains a preventive maintenance schedule program for equipment and machinery within the departments Facility Dude work order program.?
• Ensures required OSHA and other mandated training and certifications are completed by assigned staff.?
• Enforces sound safety and housekeeping practices.?
• Ability to establish a culture of safety for employees and ensure that work processes are free from safety and health hazards, employees are properly trained and programs are in place to ensure safety.?
• May be required to wear some type of respiratory protection in the performance of their duties
SUPERVISORY RESPONSIBILITIES?
This job has no supervisory responsibilities.
Typical Qualifications QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each duty satisfactorily. The requirements listed below are representative of the knowledge, skill, essential and/or ability required.
Must be able to pass a CJIS (Criminal Justice Information System) background check due to the need to visit secure locations.
EDUCATION and/or EXPERIENCE ?
Associates degree in Business is preferred or equivalent of education and experience.
Basic knowledge of all Mechanical and structural systems and their operation is preferred
FMP (Facilities Management Professional) certificate through IFMA preferred.

LANGUAGE SKILLS?
Ability to read, analyze, and interpret periodicals, professional journals, technical procedures, or governmental regulations. Ability to prepare reports, correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers and the public.
